Role Overview:


The Production Associate supports the day-to-day execution of production operations by maintaining accurate data, managing purchase orders, tracking deliveries, and coordinating with cross-functional partners throughout the product lifecycle. This role serves as a key liaison between internal teams, overseas factories, vendors, and logistics partners to help ensure production milestones, shipment timelines, and costing information are accurately tracked and maintained. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment.


Responsibilities:


Data & System Management

  • Maintain accurate production, shipping, and inventory records within company systems.
  • Generate and distribute reports related to deliveries, purchase orders, costing, and production status.
  • Audit data entries regularly to ensure accuracy and consistency across platforms.
  • Support ERP, PLM, or vendor management system updates as needed.

Bulk Order Management

  • Issue, maintain, and update purchase orders (POs) across all product categories.
  • Review and reconcile shipment overage and shortage requests with factories and planning teams to minimize excess or unwanted inventory.
  • Monitor bulk shipment variances on packing lists to ensure all unapproved overages or shortages are identified prior to system receipt.
  • Ensure all production and shipment data is entered accurately and updated in internal systems.

Cross-Functional Collaboration

  • Partner closely with Production, Planning, Logistics, and Sales teams to support operational efficiency.
  • Communicate professionally with overseas factories, vendors, and freight partners.
  • Escalate issues proactively to management when production timelines are at risk.

Costing Management

  • Request, collect, and maintain seasonal cost sheets to build and organize historical costing data.
  • Assist with data validation for new and existing styles.
  • Ensure costing information is accurately reflected in internal systems and reports.
  • Maintain organized digital records for all costing documentation.

Delivery Tracking Management

  • Review delivery WIP reports on a daily and weekly basis across all product categories to ensure production milestones and shipping deadlines are met.
  • Identify and reconcile any delays impacting bulk shipments.
  • Follow up with factories regarding delivery timelines and shipment status updates.
  • Maintain and update vendor portals with accurate shipping and tracking information.
  • Coordinate with overseas warehouses and distribution partners to ensure bulk shipments are received, processed, and delivered on schedule.
  • Monitor inbound shipment flow with overseas warehouses to proactively resolve receiving delays, documentation issues, or inventory discrepancies.
  • Communicate delivery risks, delays, and changes to internal teams in a timely manner.


Skills & Qualifications:


  • 2+ years of experience in data entry, production coordination, or operations within the fashion or apparel industry preferred.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Excel and data management systems.
  • Experience working with ERP, PLM, or vendor portal systems is preferred.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills.

Physical Requirements:


  • Prolonged periods of sitting and working at a computer workstation.
  • Frequent use of a computer, keyboard, and telephone to enter, review, and communicate information.
  • Visual acuity sufficient to review detailed reports, spreadsheets, purchase orders, and production data.
  • Occasional lifting, carrying, or moving of files, samples, and packages weighing up to 15 pounds.
  • Regular communication with internal teams, vendors, and factory partners via phone, video conference, and email.
  • May occasionally walk through warehouse, distribution, or production environments as business needs require.
  • Capacity to maintain focus and accuracy while managing multiple projects, deadlines, and detailed data entry tasks.
