The Iowa Department of Health and Human Services (HHS), Division of Public Health, Bureau of the Iowa Office of the State Medical Examiner is seeking an Administrative Support Assistant 2 to join our team!

We are seeking a detail-oriented and dependable Administrative Assistant to support daily operations by answering incoming calls, creating and maintaining case documentation, and performing quality assurance tasks. This position serves as a first point of contact for next of kin, law enforcement, medical examiner investigators, healthcare providers, and other partners. The ideal candidate is calm under pressure, organized, and committed to accuracy.

Key Responsibilities

  • Answer and route incoming phone calls professionally and with sensitivity, including calls from families, law enforcement, medical examiner staff, healthcare facilities, and external partners.
  • Create and print chart labels for new cases, ensuring accuracy and proper formatting.
  • Perform quality assurance checks on case files, documentation, and data entry to maintain compliance with internal standards.
  • Maintain organized records, logs, and documentation for tracking workload and case-related activities.
  • Assist staff and investigators with administrative needs as assigned.
  • Handle confidential and sensitive information with discretion.
  • Support general office duties such as data entry, filing, scanning, and document preparation.

Qualifications

  • High school diploma or equivalent required; additional administrative training preferred.
  • Previous administrative, reception, or office support experience desired.
  • Strong verbal communication skills, with the ability to interact respectfully and professionally with individuals in stressful or emotional situations.
  • Excellent attention to detail and accuracy in documentation.
  • Proficiency with basic computer applications, including email and data entry.
  • Ability to manage multiple tasks, prioritize, and work independently.
  • Experience handling confidential information appropriately.

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:
1) One year of full-time work experience in general office, clerical, data entry/processing, or related work.
2) A total of one year of education and/or full-time experience (as described in number one), where thirty semester hours of accredited college or university coursework in any field equals one year of full-time experience.
3) Current, continuous experience in the state executive branch that includes six months of fulltime work as an Administrative Support Assistant 1.
Within a period of time after hire, as determined by the appointing authority, employees in this class may be required to type at least 40 WPM net as demonstrated by the completion of a typing examination.
