Role Overview

We are seeking a motivated, highly organized, and detail-oriented Talent Coordinator to join our team. This full-time hybrid position is based in Portland, Oregon (97201), and is ideal for someone who enjoys working in a fast-paced environment, managing multiple priorities, and supporting both talent and internal operations.


The ideal candidate is a strong communicator, comfortable working with large amounts of data, and enjoys building positive relationships while solving problems and keeping projects organized. This role offers the opportunity to play a key part in the success of a growing national staffing agency.


Key ResponsibilitiesTalent Coordination & Onboarding
  • Support talent throughout the onboarding process, ensuring all required documentation is completed accurately and on time
  • Maintain ongoing communication with talent regarding assignments, scheduling, expectations, and event updates
  • Assist with talent support and issue resolution before, during, and after events
  • Foster positive relationships with talent and contribute to a strong talent experienc
Data & Systems Management
  • Maintain accurate talent records across multiple systems and databases
  • Review onboarding documentation for completeness and accuracy
  • Manage and organize large datasets using Google Sheets and internal staffing tools
  • Audit records and update information as needed to ensure data integrity
  • Review & maintain the organization of talent submissions by prioritizing candidates based on multiple variables such as market, experience, & interest in the brand/product.
  • Assist with tracking staffing information and maintaining operational records
Communication & Administrative Support
  • Draft clear, professional written communications for talent, team members, and clients
  • Assist with scheduling, staffing coordination, and general administrative tasks
  • Support day-to-day operations to ensure events are staffed efficiently and successfully
  • Collaborate closely with team members to meet staffing deadlines and operational goals


Schedule
  • Monday-Friday
  • Some evenings and weekends required during peak event periods
  • On-site during training
  • Hybrid schedule available upon successful completion of training


Compensation & Benefits
  • $20 - $23/hour (DOE)

QualificationsRequired
  • Strong proficiency with Google Sheets, Google Docs, and Google Forms
  • Excellent written communication skills with strong attention to detail, including professional email correspondence and the ability to summarize information clearly and concisely
  • Exceptional organizational and time-management abilities
  • Strong customer service and interpersonal communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Experience providing administrative, operational, or coordinator-level support
  • Strong problem-solving skills and a proactive approach to tasks
Preferred
  • Experience in event staffing, experiential marketing, talent management, recruiting, or workforce coordination
  • Experience with onboarding, scheduling, or staffing operations
  • Bachelor's degree in Business Administration or a related field
