Executive Recruiting Coordinator(Hybrid)

We are seeking a highly organized and proactive Executive Recruiting Coordinator to support a high-impact, fast-paced executive hiring initiative. This role will focus on coordinating interviews for Director and Senior Director-level hiring, partnering closely with senior leadership (VP/SVP level) and recruiting teams to deliver a seamless, high-touch candidate experience.


This is a high-visibility role requiring strong executive presence, precision, and the ability to operate efficiently in a high-volume, high-intensity environment.


Work Environment

  • Hybrid schedule with flexibility based on business needs
  • Expected onsite presence approximately 2–3 days per week, depending on interview activity
  • Some weeks may require more frequent onsite support (e.g., executive interview days), while others may be fully remote
  • Onsite attendance required for executive interviews and key stakeholder interactions


Key Responsibilities

Executive Interview Coordination

  • Manage complex scheduling for Director and Senior Director-level candidates across multiple time zones
  • Coordinate interviews, ensuring alignment across busy executive calendars
  • Handle a high volume of scheduling activity, supporting an initiative to hire 20+ within a 6-month timeframe
  • Prepare and distribute detailed interview agendas and materials


Onsite Interview Experience

  • Facilitate onsite interview days, ensuring a seamless and professional candidate experience
  • Coordinate logistics including meeting space, interviewer readiness, and candidate flow
  • Arrange travel and accommodations for executive candidates as needed


Candidate Experience & Communication

  • Serve as the primary point of contact for candidates throughout the interview process
  • Deliver a high-touch, “white-glove” experience aligned with executive hiring standards
  • Communicate clearly and professionally with both candidates and senior leadership


Offer & Requisition Support

  • Assist in the creation and distribution of offer letters through SAP SuccessFactors
  • Maintain accurate and up-to-date job requisitions and candidate records


Tools & Systems

  • Utilize tools such as Microsoft Teams, Excel, and ATS systems to manage scheduling and reporting
  • Track interview activity and support reporting needs related to executive hiring


Project & Operational Support

  • Partner with recruiters to ensure efficient candidate flow through the process
  • Support high-priority hiring timelines with urgency and accuracy
  • Contribute to process improvements and operational efficiency where possible


Qualifications

  • 3–5+ years of experience in recruiting coordination, preferably supporting executive or senior-level hiring
  • Proven ability to manage high-volume, complex scheduling across multiple stakeholders
  • Strong organizational skills with exceptional attention to detail
  • Excellent communication skills with the ability to engage confidently with senior leadership
  • Experience coordinating simultaneous interview processes in a fast-paced environment
  • Proficiency with applicant tracking systems (e.g., SAP SuccessFactors) and scheduling tools
  • Advanced proficiency in Microsoft Office, especially Excel and Outlook
  • Experience coordinating across multiple time zones, including international scheduling
  • Ability to handle sensitive information with a high degree of professionalism and confidentiality
