Role Summary:

We are seeking a Senior Program Manager to lead the end-to-end planning, coordination, and execution of a flagship senior leadership conference for 80–90 L8+ executives. This role requires a seasoned professional who can integrate AI-focused content strategy, executive engagement, large-scale event logistics, and cross-functional program management to deliver a transformative multi-day experience that drives leadership development, AI fluency, and organizational change.


The ideal candidate has 10+ years of global program management experience with demonstrated success in designing and delivering executive-level conferences focused on emerging technology (AI/ML), leading through change, and leadership development at scale.


Key Responsibilities:

Program Management & Strategy

  • Own end-to-end program lifecycle for a multi-day executive leadership summit (80–90 attendees, L8+ audience) from concept through post-event analysis
  • Develop and manage the strategic agenda in partnership with executive sponsors, ensuring alignment to themes of AI fluency, leadership in the AI era, and organizational transformation
  • Drive content strategy that addresses multiple AI readiness levels (from AI-curious to advanced practitioners), incorporating hands-on workshops, featured speakers, breakout tracks, and innovation showcases
  • Define and execute a registrant engagement strategy including pre-event surveys, AI readiness assessments, and personalized track recommendations
  • Manage cross-functional dependencies across engineering, ML training teams, executive engagement, customer connection (VoC), and diversity & inclusion partners
  • Establish governance cadence including weekly planning syncs, milestone reviews, and executive sponsor briefings


Event Coordination & Logistics:

  • Manage all venue logistics (corporate HQ campus), including room assignments, AV requirements, catering, registration systems, attendee communications, and transportation
  • Coordinate speaker program: source, confirm, and brief C-suite and VP-level speakers; manage session scheduling, rehearsals, and day-of speaker support
  • Plan and execute networking events including pre-summit reception, seated dinners, partner social events, and community give-back activities
  • Manage vendor relationships (marketing/event agencies, external training providers) including SOW development, invoicing, and deliverable tracking
  • Oversee registration management via Smartsheet or equivalent tooling; track RSVPs, manage waitlists, and communicate logistics to attendees
  • Lead day-of execution including run-of-show management, on-site troubleshooting, and real-time schedule adjustments


Executive Engagement & Stakeholder Management:

  • Partner directly with executive sponsors (Director/VP level) to curate the summit vision, secure high-profile speakers, and align content to strategic priorities
  • Engage with CEO/SVP offices to explore executive participation (keynotes, fireside chats, opening/closing remarks)
  • Coordinate with internal AI subject matter experts, Machine Learning University (MLU) training teams, and innovation labs to deliver hands-on technical content appropriate for a non-technical senior audience
  • Collaborate with employee engagement groups, affinity networks, and community partners to integrate inclusion, community service, and cultural programming
  • Manage proposal intake from internal teams seeking agenda time; evaluate alignment with summit objectives and make inclusion/exclusion recommendations


Content & Curriculum Design

  • Architect multi-track programming that balances AI skill-building (prompt engineering, agentic workflows, GenAI) with leadership development (change management, career navigation, team enablement)
  • Design breakout sessions with tiered complexity: foundational AI literacy through advanced build workshops (AI agents, custom solutions, Vibe Coding)
  • Integrate Voice of Customer programming, Responsible AI governance panels, and innovation showcases to provide well-rounded executive development
  • Develop post-summit action planning frameworks ensuring attendees leave with specific 30-day commitments and measurable outcomes


Measurement & Continuous Improvement

  • Design and administer pre/post event surveys to measure AI readiness growth, session effectiveness, and leadership development outcomes
  • Produce post-event reports with quantitative metrics, attendee feedback synthesis, and actionable recommendations for future iterations
  • Maintain year-round community engagement strategy to sustain momentum between annual summits


Basic Qualifications:

  • 10+ years of global program management experience with a track record of delivering executive-level conferences or leadership summits
  • Demonstrated experience planning and coordinating events for 75–200+ senior leaders (L8/VP and above)
  • Experience designing conference content focused on AI, emerging technology, or digital transformation for non-technical executive audiences
  • Proven ability to manage complex, multi-stakeholder programs across geographies with competing priorities and ambiguous requirements
  • Experience engaging and briefing C-suite executives, sourcing keynote speakers, and managing high-visibility executive programs
  • Strong written and verbal communication skills; ability to produce executive-level documents, proposals, and post-event reports
  • Bachelor's degree in Business, Communications, Event Management, or related field


Preferred Qualifications:

  • Experience in leadership development program design focused on change management, organizational transformation, or executive coaching
  • Familiarity with AI/ML concepts, generative AI tools, and the ability to curate technically rigorous content for senior leaders across multiple readiness levels
  • Experience managing vendor/agency relationships for large-scale events including SOW management, invoicing, and creative direction
  • Track record of building community engagement programs that sustain impact beyond individual events
  • PMP, PgMP, or similar program management certification
  • Experience working within affinity group or employee resource group (ERG) programming to integrate inclusion, equity, and community-building into executive events
  • Knowledge of event technology platforms (Smartsheet, registration systems, survey tools, virtual/hybrid event platforms)


Work Environment:

  • Travel: Up to 20%, concentrated around summit planning milestones and event execution
  • Reports to: Director, Global Delivery Organization / Executive Sponsor
