Job Title: Senior Executive Assistant

Overview
The Senior Executive Assistant is a trusted partner who operates as an extension of the CEO’s time and priorities. This role enables the CEO to remain focused on high-impact work by managing competing demands, driving follow-through, and proactively removing obstacles.
The CEO operates in a fast-paced, high-accountability environment with a direct and results oriented communication style. Success in this role requires strong judgment, adaptability, resilience and composure under pressure.
You will regularly interact with the executive leadership team (ELT) and external partners requiring the ability to operate with professionalism and discretion. The right candidate must be comfortable operating with a high level of visibility and trust.
Key Responsibilities
Calendar & Prioritization
- Oversee and optimize the CEO’s calendar to align with top business priorities allowing preparation and work time
- Proactively management scheduling conflicts and make strategic real-time prioritization decisions with little oversight
- Ensure the CEO is prepared with clear, relevant context
Communication & Coordination
- Serve as the central point of coordination for the CEO
- Compose clear, concise, and executive-level correspondence on behalf of the CEO while maintaining alignment with the CEO’s communication preferences
- Facilitate efficient access to the CEO, especially across the ELT
- Ensure follow-through on key messages and commitments
Execution & Follow-Through
- Track priorities, deadlines, and deliverables to ensure timely communication, accountability, and execution across key initiatives
- Proactively follow up to ensure progress and completion
- Take initiative to drive progress and advance priorities when needed
Meetings & Offsites
- Plan and execute executive meetings and offsites (some travel required)
- Prepare and coordinate well-structured agendas, compiling supporting materials from multiple sources to ensure meetings are organized, outcome-focused, and action-oriented
- Capture clear and actionable meeting notes, track key decisions and next steps to support the accountability and effective follow-through by the ELT
Travel & Logistics
- Manage complex travel, anticipating and resolving issues
- Coordinate travel and logistics to ensure efficiency, seamless execution, and alignment with business priorities
Operational Support
- Identify and address gaps or inefficiencies quickly
- Bring structure, organization, and clarity while maintaining simplicity and efficiency
- Support leadership alignment to ensure priorities and initiatives are moving forward
Executive Presence
- Operate with discretion, providing seamless support behind the scenes to enable executive success, understanding when to step in if necessary
- Demonstrate professionalism at all times
Qualifications & Core Skills
- 7–10+ years supporting a CEO or senior executive
- Strong judgment and ability to prioritize independently
- Clear, effective written and verbal communication
- Exceptional organization and follow-through
- Ability to adapt quickly in a fast-paced environment
- Advanced Microsoft Office skills; familiarity with Concur is a plus
