A nationally recognized AmLaw 200 firm known for its innovation, collaborative culture, and strong internal support systems is seeking an experienced Senior Billing Specialist to join its Finance team. This role manages the full billing lifecycle for a designated group of attorneys and requires a high level of accuracy, communication, and client‑service focus.
Position Overview
The Senior Billing Specialist serves as a key resource to attorneys, legal assistants, and Finance team members, handling complex billing arrangements, multi‑payor matters, consolidated invoices, and high‑volume monthly billing. This position is ideal for someone who thrives in a fast‑paced professional services environment and enjoys solving billing challenges with both precision and initiative.
Key Responsibilities
- Generate monthly and ad‑hoc prebills for attorney review, ensuring accuracy and timely delivery
- Revise and finalize invoices based on attorney comments and client requirements
- Confirm compliance with client billing guidelines and firm policies
- Understand and apply firm, client, matter, and exception rates, including discounts and fee arrangements
- Submit and track timekeeper and rate approvals when needed
- Apply retainers and process write‑downs in accordance with policy
- Prepare, submit, and monitor e‑bills across multiple client billing platforms
- Identify and resolve billing rejections, reductions, and technical issues
- Maintain detailed billing notes, deadlines, and client preferences
- Provide attorneys with accurate accruals, budgets, and billing status updates
- Research and resolve billing inquiries from attorneys, staff, and clients
- Assist with training and supporting Billing Coordinators as needed
- Participate in department initiatives and firm‑wide projects
- Prepare ad‑hoc internal and external billing reports
Qualifications
- High school diploma required; bachelor’s degree preferred
- 5+ years of billing experience in a law firm or professional services environment
- Strong background with Aderant, Elite, BillBlast, eBilling Hub, or similar platforms
- Experience handling complex billing structures and resolving billing issues
- Exceptional attention to detail, organization, and follow‑through
- Ability to manage multiple deadlines and shifting priorities
- Strong communication skills and a client‑service mindset
- Proficiency in Microsoft Office (Excel, Word, Outlook 365)
- Ability to work independently while collaborating effectively across departments
- Willingness to adjust schedule when needed to meet billing deadlines
