Summary of position:

The Sales and Customer Coordinator is responsible for supporting daily sales and administrative operations while delivering excellent customer service. The ideal candidate demonstrates strong written and verbal communication, exceptional interpersonal skills, and keen attention to detail. Success in this role requires sound judgment, problem-solving abilities, and critical thinking to navigate challenges effectively in a fast-paced, evolving environment.


The role involves close collaboration with customers, field representatives, and cross-functional internal teams to ensure efficient operations and high-quality service.


The ideal candidate is a proactive and adaptable professional who can manage multiple priorities, follow direction from management, maintain professionalism under pressure, and contribute positively to a growing organization where responsibilities may change quickly.


Essential Job Duties & Responsibilities but not limited to:

  • Support all customer service and sales supporting activities, processes, and personnel; assist associates in ways that optimize procedures and prioritize daily directives to meet deadlines.
  • Process and expedite quotes, sales orders, and invoices; support customers, distributors, and sales team in making decisions by providing appropriate solutions.
  • Process, track, and report customer complaints; assist in all service coordination efforts; expand existing service program through proactive efforts
  • Assist with preparation sales reports from the company’s ERP and CRM systems and update spreadsheets with pertinent information.
  • Work cross-functionally to coordinate activities and find appropriate solutions promptly.
  • Ensure that customers (internal and external) are satisfied with products and services.
  • Escalate queries and concerns as needed.
  • Maintain accurate office filing of hardcopy and electronic documents.
  • Contribute towards the achievement of company’s strategic and operational objectives.
  • Ensure issues and any product complaints are resolved by adhering to internal processes.
  • Assist the warehouse in processing shipments, inventory transfers, and cycle counts as needed.
  • Assume other duties as assigned.


Skills and Qualifications (minimum requirements):

  • Minimum 2 years of relevant work experience.
  • Experience in medical device, healthcare or aerospace industries is strongly preferred.
  • Some knowledge of inventory control, movement, and distribution.
  • Knowledge in Medical Device Regulations as FDA and CE regulations
  • Quality Management Systems (ISO) and Quality Assurance knowledge preferred
  • Ability to establish priorities, work independently, and proceed with objectives with minimal

direct supervision; must be self-accountable

  • Strong technical skills and comfortable using new technologies, tools, and resources (Microsoft Office, DocuSign and Adobe Acrobat, etc.).
  • Experience with QuickBooks, CRM and ERP systems preferred.
  • Strong interpersonal skills (verbal and written) both in person and by phone and email with a high level of professionalism.
  • Highly organized, detail-oriented, with good analytical skills and business judgment.
  • Ability to work in high-pressure situations and deal with conflict, ambiguity and shifting priorities in a composed and competent manner.
  • Strong customer and employee focus skills (listening, empathy, solution-focused).
