A highly regarded organization is seeking a poised and detail-oriented Receptionist to serve as the first point of contact for all visitors and employees. This role requires exceptional professionalism, excellent communication skills, and a strong commitment to maintaining a welcoming and polished front office environment.

Key Responsibilities:

  • Greet guests and internal visitors with courtesy and professionalism; offer refreshments and manage parking validations
  • Promptly announce and coordinate guest arrivals with relevant team members
  • Maintain and monitor conference room calendars; assist with meeting scheduling and logistics
  • Set up and support video and audio conferencing, including Level 1 AV troubleshooting in collaboration with the IT helpdesk
  • Coordinate catering for internal meetings, ensuring timely setup, service, and cleanup
  • Keep all guest-facing areas—including the lobby, beverage station, and conference rooms—clean, organized, and presentation-ready at all times
  • Maintain a tidy and professional reception workspace
  • Manage internal visitor announcements and assist with various administrative and office support tasks as needed
  • Answer and direct incoming phone calls in a courteous and efficient manner
  • Prepare outgoing mail and FedEx shipments
  • Coordinate transportation for guests and employees
  • Support courier requests and office supply needs
  • Assist with onboarding logistics such as new hire photos and business card orders

Qualifications:

  • Previous administrative experience in the oil and gas, commodities, or commercial industry
  • Proficiency with Microsoft Teams and basic AV equipment.
  • Excellent communication and interpersonal skills.
  • Professional appearance and demeanor.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and adapt in a fast-paced environment.
