Position Overview
We are seeking a highly organized and dependable Receptionist / Administrative Assistant to support the day-to-day needs of our office. This is a fully in-office role focused on providing consistent, detail-oriented support to attorneys and staff across both the Family Law and Trusts and Estates departments.
Candidates who live within a practical commuting distance to Foster City are preferred to support consistent in-office attendance.
The ideal candidate is professional, responsive, and comfortable handling a range of administrative responsibilities in a legal environment. This role is ideal for someone who takes pride in their work and brings a positive and professional presence to the office. It requires a dependable and self-motivated individual who is comfortable working independently, including serving as the primary in-office point of contact at times while attorneys and staff are working remotely or attending court.
Key Responsibilities
Front Desk, Reception & Client Experience- Answer and route incoming calls
- Greet visitors and offer refreshments
- Maintain a professional, organized, and welcoming office environment
- Prepare conference rooms (documents, refreshments, and technology set up)
- Scan client documents during meetings, and assist with the execution of estate planning documents as needed
- Coordinate notary services
Document Handling, Mail & Shipping - Manage incoming and outgoing mail, including scanning and processing
- Handle trips to the post office, FedEx, or other carriers to send documents and packages
- Scan, copy, print & organize legal documents
- Maintain organized electronic filing of client documents in accordance with firm protocols
Data Entry & Systems Support- Enter expenses and basic data into firm systems under direction
- Maintain accurate contact information and records within internal databases
Calendaring & Coordination- Assist with scheduling meetings via Zoom, telephone, or in-person for multiple attorneys
- Support coordination of appointments and deadlines as requested
- Arrange travel for partners as needed
Administrative & Team Support- Provide day-to-day administrative assistance to multiple attorneys and staff
- Assist with routine office tasks including maintaining inventory of office supplies and placing orders on an ongoing basis
- Provide coverage for Intake Coordinator during absences
- Provide support on additional administrative tasks and special projects as needed
Qualifications- 1 to 3 years of experience in an administrative or receptionist role (experience in a legal environment preferred but not required)
- Strong attention to detail and organizational skills
- Ability to follow direction and manage multiple tasks efficiently
- Professional written and verbal communication skills
- Comfortable working with database systems
- Experience with office and legal technology systems such as Zoom Workspace and telephone systems
- High level of discretion and professionalism when handling confidential information
- Dependable, proactive, and team-oriented
Requirements- Full-time, in-office presence in Foster City, CA
- Schedule: Monday to Friday, 8:30 a.m. to 5:00 p.m.
- Ability to work in a fast-paced environment with shifting priorities
