The Real Estate Coordinator plays a key role in supporting Windsor’s Real Estate team by helping manage and coordinate day-to-day activities across the department. This role provides direct support to the Senior Vice President of Real Estate and Senior Manager of Real Estate and is ideal for someone who is highly organized, detail-oriented, proactive, and confident communicating across teams.
The right candidate thrives working independently in a fast-paced environment and is excited to grow their expertise within the retail real estate and leasing function. This role provides exposure to the full retail real estate lifecycle, including new store development, relocations, renewals, and portfolio management.
Responsibilities:
- Manage daily email correspondence, phone communications, calendar scheduling, and administrative priorities in a fast-paced environment.
- Organize and track pending real estate and legal transactions, including lease documentation review, renewal follow-up scheduling, and coordination of lease-related documentation and approvals.
- Support the lease renewal process by tracking critical dates, preparing deal summaries, coordinating documentation, and assisting with landlord negotiations and communication.
- Track and monitor all phases of the real estate development and leasing pipeline, including new stores, relocations, renewals, and closures.
- Maintain organized lease files, transaction records, and database systems.
- Assist with preparing presentations, reporting, and deal summaries related to real estate activity.
- Conduct research and compile property information, demographics, and competitive retail analysis to support site selection and leasing initiatives.
- Coordinate with attorneys, leasing agents, landlords, brokers, developers, and internal business partners throughout the transaction process.
- Review, track, and assist with Letters of Intent (LOIs), general correspondence, and real estate documentation as needed.
- Coordinate meetings, market tours, site visits, and travel arrangements as needed.
- Support the Senior Vice President of Real Estate and Senior Manager of Real Estate across all facets of the business.
- Support additional projects, responsibilities, and cross-functional initiatives as needed.
Qualifications and Requirements:
- Strong computer skills with proficiency in Microsoft Office and Google Workspace, including Excel, Word, PowerPoint, Gmail, Google Calendar, and Google Meet.
- Exceptional organizational skills and strong attention to detail.
- Ability to prioritize and manage multiple projects in a fast-paced environment.
- Excellent written and verbal communication skills.
- Proactive self-starter with the ability to work independently while supporting a team environment.
- Strong interpersonal skills and the ability to communicate effectively with internal teams and external partners.
- Ability to learn and work within multiple software systems and databases.
- Interest in commercial real estate, retail leasing, or development required.
- College degree and knowledge of lease agreement terminology or the commercial real estate industry is a plus, but not required.
