The Purchasing Coordinator role requires someone with relentless attention to detail, who is comfortable and confident working with basic math calculations, and who is a proactive communicator across all levels of the organization. This role will work with SPARS (area rug ERP system), COUPA’s purchasing and expense modules, M.S. Excel, M.S. Outlook, and M.S. Teams.


Responsibilities will include creating purchase orders in COUPA, reviewing and auditing commercial invoices from overseas shipments that are inbound, reconciling invoice variances, communicating to vendor contacts and sourcing contacts, adding new suppliers to the COUPA system, and reconciling invoices to COUPA budget-related spend POs. The use of COUPA and the budgeting roles are both new to the organization and require a self-starter who is willing to learn, solve problems, and hopefully see around corners to mitigate issues before they arise.

Additional responsibilities will include item master data work in order to make sure behind-the-scenes SKU data is accurate, down to the formatting, since this ERP data feeds external selling platforms and other middleware. ERP system updates regarding ETA dates will also be required as these item ETAs are transmitted to customers via EDI and result in customer promise dates of when goods will be available.


The roles of this position are expected to expand due to the growth trajectory of Loloi Rugs. This includes the creation of processes needed to establish a centralized purchasing organization working with most of the other departments across the organization.


Responsibilities

  • Own PO creation in the COUPA Expense platform for non-inventory spend
  • Own systematic SKU creation in the ERP system by collaborating with merchandising and product development teams, under the direction of the Item Master Data Manager
  • Review vendor invoices for accuracy and escalate any variances found to purchasing management for inventory-related expenses
  • Obtain freight and duty expenses from the Inbound Logistics team and apply the expenses to the inbound product to build an accurate landed cost
  • Complete systematic receiving of products, based on container and product information submitted from the Receiving and QC teams
  • Collaborative with multiple departments; this person must have strong communication skills to effectively communicate with internal partners in multiple locations across the U.S. and in numerous other countries


Experience, Skills, & Ability Requirements

  • 1-3 years of experience working in either purchasing, supply chain, or SKU management/master data
  • Basic M.S. Excel skills and the ability to adapt to new systems
  • Ability to operate with agility and feel comfortable with change
  • Preferred candidates will have experience with COUPA Purchasing and Expense platforms
  • Must demonstrate consistent attention to detail and effective communication skills

  • College Degree preferred
