PROJECT COORDINATOR / ORDER & LOGISTICS SPECIALIST
Key Responsibilities
Order Management & Procurement
- Enter and process orders for park equipment and associated construction services in Acumatica
- Generate and issue purchase orders to manufacturers and vendors, ensuring accuracy in specifications, quantities, and pricing
- Coordinate with sales team to confirm order details, revisions, and approvals
- Track long-lead items and proactively communicate potential delays
- Facilitate Customer communication on order status and associated updates
Logistics & Delivery Coordination
- Manage and track all project components from order placement through final delivery
- Identify freight carrier efficiencies and improve project profitability (consolidated deliveries, secondary carriers, etc.)
- Coordinate shipments from multiple vendors to ensure materials arrive in the correct sequence for installation
- Confirm delivery details including site access, contacts, equipment needs (e.g., forklift requirements), and delivery restrictions
- Communicate with customers regarding ship dates, delivery schedules, and expectations
- Provide tracking details, bills of lading, and installation manuals upon shipment
- Manage logistics inbox and maintain consistent communication across assigned territories
- Coordinate equipment staging and delivery timelines to align with project installation schedules
Installation Coordination (Turnkey Execution)
- Develop and manage full project schedules (including project site work, equipment installation, surfacing installation, and shade structure installation)
- Act as the primary point of contact for customers during project construction
- Coordinate directly with:
Customers (schools, municipalities, HOAs, contractors)
Installation crews and subcontractors
Manufacturers and suppliers
- Ensure site readiness prior to installation by collecting and reviewing:
Site photos and conditions
Base preparation and drainage details
Layout plans, renderings, and safety zone compliance
- Coordinating with Parks Consultants as necessary
- Schedule and sequence trades appropriately (e.g., equipment install before surfacing, shade footings prior to final install)
- Identify and resolve scheduling conflicts, site issues, or delivery challenges proactively
Project Tracking & Financial Coordination
- Maintain accurate project tracking sheets including status, timelines, and key milestones
· Provide regular project updates to internal teams and customers
· Ensure all project components are delivered and installed per scope before invoicing
· Notify accounting when projects are ready for billing and provide supporting documentation
· Assist in managing change orders and scope adjustments
Project Closeout
- Compile and organize all project closeout documentation, including:
- Warranties
- Operations & Maintenance guidelines
- Inspection reports and compliance documents
- Maintain and update organized digital project files
- Update internal closeout trackers and accounting systems
- Send project completion communications to customers and ensure satisfaction
Contract & Submittal Review
- Review customer contracts, vendor agreements, and project specifications for accuracy
- Ensure compliance with safety standards (ASTM, CPSC guidelines for playgrounds, where applicable)
- Flag discrepancies or risks and coordinate resolution with internal teams
Qualifications & Requirements
- 2–4 years of experience in construction, project coordination, procurement, or related field (public construction and civil experience strongly preferred)
- Experience managing multi-component or turnkey projects is highly desirable
- Strong understanding of construction sequencing and job site coordination
- Exceptional organizational and multitasking skills with attention to detail
- Excellent communication skills with a customer-facing mindset
- Ability to manage multiple projects simultaneously in a deadline-driven environment
- Self-starter with strong problem-solving abilities
- Proficiency in Microsoft Office (especially Excel and Outlook) and ERP systems
- Experience with Acumatica or similar systems preferred
Salary Range: $60,000-$65,000
