Waggle is seeking a highly organized and proactive Project Coordinator to support processes across all brand initiatives, specifically creative production. This is a critical role on the growing Project Management team, with an opportunity to be closely involved with our talented creative team.
In addition to coordinating planning and execution of all creative production, you’ll also assist with key marketing and merchandising initiatives as needed.
We’re looking for a self-starter who is eager to create, communicate and coordinate processes across our incredibly fast-growing brand.
This role will report to the Senior Project Manager.
Key Responsibilities
General Project Coordination & Support
- Assist in coordinating cross-functional projects to help keep timelines and deliverables on track
- Support project execution by maintaining tools, templates and tracking systems
- Track and document project expenses for accurate budgeting
- Monitor project progress and flag risks or issues to leadership
Cross-Functional Collaboration
- Support communication and coordination across the brand department (Creative, Marketing, Merchandising, Stores and Partnerships teams)
- Help organize and schedule meetings, including preparing agendas and capturing notes/action items
- Assist in tracking project timelines and following up with team members on deliverables
- Coordinate with Sales & Operations teams as needed to support cross-functional timelines and logistics
- Assist with planning, coordination and on-site execution of company events as needed throughout the year
- Other duties as assigned
Creative Project Emphasis
- Lead creative project coordination across pre-production, execution and post-production
- Support creative team through all pre-production logistic communication, including scheduling logistics (date, time, location etc.), talent sourcing, vendor outreach, apparel sample preparation and more
- Assist with on-set coordination, helping to manage apparel, talent and vendors
- Create and maintain production schedules from pre to post, ensuring schedules are followed and troubleshooting issues in real time
- Support project budget tracking and expense organization
- Track asset delivery and organization (images, edits, selects), coordinating with marketing to meet campaign timelines
Process & Workflow Support
- Help identify process gaps and suggest improvements
- Maintain documentation for workflows and project recaps
- Support implementation of new tools or processes as needed
- Track team workload and provide updates to leadership for prioritization support
Qualifications
- 1-3 years of project coordination or related experience
- Exposure to creative projects or marketing campaigns preferred
- Familiarity with project management tools (Asana or similar)
- Strong organizational and communication skills
- Detail-oriented with the ability to manage multiple tasks
