IntePros is partnering with a leading environmental engineering organization to hire a Project Administrator to work with a leader in the environmental engineering industry. This position would support growing site investigation, remediation, and environmental management teams. This is an excellent opportunity for someone who enjoys balancing accounting, project coordination, and administrative responsibilities in a fast-paced professional services environment.
In this role, you'll work closely with Project Managers, accounting teams, clients, vendors, and subcontractors to ensure projects are set up accurately, invoices are processed efficiently, and financial information is maintained throughout the project lifecycle. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities while delivering exceptional internal and external customer service.
What You'll Do
- Set up and maintain project information in the accounting system in accordance with contract terms and company policies.
- Review project budgets, contract values, fee structures, payment terms, and related financial information.
- Verify project rate schedules and ensure billing components align with contractual requirements.
- Process employee expense reports and support project-related data entry and corrections.
- Generate and distribute pre-bill reports, coordinate revisions with Project Managers, and prepare final client invoices with required documentation.
- Track accounts receivable and accounts payable activities related to project processing.
- Support monthly financial close activities, including revenue tracking, budget updates, and percentage-of-completion reporting.
- Produce standard project and accounting reports as needed.
- Provide general office support, including filing, correspondence, travel coordination, and meeting logistics.
What We're Looking For
- Associate's degree in Accounting, Finance, or a related field.
- Project administration experience within a professional services environment, preferably engineering, consulting, or environmental services.
- Understanding of job costing, project accounting, contract administration, and revenue tracking.
- Strong proficiency with Microsoft Office, particularly Excel.
- Excellent written communication and data entry skills with a high level of accuracy.
- Ability to read and interpret contracts, correspondence, and project documentation.
- Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong interpersonal skills and the ability to effectively collaborate with Project Managers and internal stakeholders.
- Experience with BST software is a plus.
- Valid U.S. driver's license with a satisfactory driving record.
