Position Overview
The Project Accountant plays a key role in supporting the financial success of construction and mechanical contracting projects from initiation through closeout. This position is responsible for managing project billings, ensuring accuracy in cost tracking, and providing timely reporting to project managers, leadership, and external stakeholders. The ideal candidate has 2–5 years of accounting experience—preferably in construction or mechanical contracting—and thrives in a fast-paced, detail-oriented environment.
Key Responsibilities
Project Financial Management
- Maintain accurate job cost data, including labor, materials, equipment, subcontracts, and change orders.
- Prepare monthly job cost reports
Billing & Revenue
- Prepare and submit progress billings, including AIA billing formats when applicable.
- Track customer billing status, retainage, and collections; address billing issues promptly with clients and internal teams.
- Process subcontractor and vendor invoices to ensure proper coding, documentation, and alignment with contract terms.
Contracts & Compliance
- Review purchase orders, and change orders for financial accuracy and compliance with company policies.
- Maintain accurate and organized project documentation, including insurance certificates, lien waivers, and compliance reporting.
- Assist with audit requests related to specific projects.
Reporting & Analysis
- Provide monthly financial summaries, cost-to-complete projections, and cash flow updates.
- Support project managers with data-driven insights for decision-making.
- Collaborate with the accounting team to ensure accurate month-end and year-end close processes.
Collaboration & Communication
- Work closely with project managers, estimators, field teams, and company leadership.
- Communicate financial information clearly and professionally to both internal and external stakeholders.
- Assist in improving accounting processes and project financial controls.
Qualifications
Required
2–5 years of accounting experience, preferably within construction, mechanical contracting, or related industries.
- Strong understanding of job costing, WIP schedules, and construction billing practices.
- Proficiency with accounting/project management software (e.g., Viewpoint, Sage 300, Procore, or similar).
- Advanced skills in Microsoft Excel and general financial analysis.
- Excellent organizational skills and attention to detail.
Preferred
Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
- Familiarity with AIA billing and construction contract terms.
- Experience with union labor reporting or prevailing wage projects.
- Understanding of mechanical systems and terminology used in the industry.
