As HEMI continues to grow, we are looking for a detail-driven payroll professional who can support the accuracy, compliance, and efficiency of payroll operations across a fast-paced, multi-state industrial services environment. This role is an important part of our Accounting team and will help ensure employees are paid accurately and on time while supporting payroll reporting, tax compliance, and coordination across HEMI and its affiliated Synergy companies.


Position Summary

The Payroll Specialist is responsible for coordinating, processing, reporting, and maintaining company payroll. This position will manage weekly payroll activities, support multi-state payroll tax compliance, maintain accurate employee payroll records, and partner with Accounting, Operations, Human Resources, and management to ensure the proper flow of payroll information.

The ideal candidate is highly organized, discreet, accurate, and comfortable working in an integrated payroll/accounting system. Key Responsibilities

  • Prepare and process weekly payroll accurately and on schedule.
  • Review approved timesheets for accuracy, completeness, and proper authorization.
  • Process employee paychecks and direct deposits.
  • Track, calculate, and process garnishments, deductions, reimbursements, adjustments, and other special payroll items.
  • Respond to employee payroll questions in a professional, timely, and confidential manner.
  • Research payroll discrepancies, review historical payroll records, and process wage corrections or adjustments as needed.
  • Coordinate with Accounting, HR, Operations, and other departments to ensure accurate employee data, labor reporting, and payroll processing.
  • Administer the electronic timekeeping system, including employee setup, timesheet monitoring, approvals, and payroll data transfers.
  • Establish and maintain accurate employee payroll records.
  • Ensure employee changes are entered correctly, approved properly, and processed in a timely manner.
  • Maintain compliance with federal, state, and local payroll laws and company policies.
  • Prepare and provide weekly payroll reports to management.
  • Support timely filing and payment of federal, state, and local payroll taxes.
  • Manage and monitor unemployment tax responsibilities, including state unemployment insurance registrations, SUTA/FUTA reporting, unemployment tax rate updates, claims-related payroll information, and coordination with applicable agencies or third-party administrators.
  • Assist with year-end payroll reporting, including employee W-2s and employer W-3s.
  • Support payroll-related audits, reconciliations, and special projects as needed.
  • Enroll employees in HEMI Systems Benefit program along with helping employees navigate through the insurance portal for initial signup. Ensure deductions are taken on each payroll and keep track on benefit spreadsheet. Responsible for open enrollment process at year end.
  • Maintain strict confidentiality and exercise discretion with sensitive employee and company information.
  • Support payroll processes for HEMI and affiliated Synergy companies as needed.


Qualifications

  • Four or more years of payroll experience, preferably in a multi-state payroll environment.
  • Strong understanding of payroll taxes, including federal, state, local, unemployment, and multi-state payroll requirements.
  • Experience with integrated payroll and accounting systems.
  • Strong Microsoft Word and Excel skills.
  • ERP experience required; Sage and/or Viewpoint Vista experience preferred.
  • Ability to understand the flow of payroll transactions through an automated accounting system.
  • High level of accuracy, attention to detail, and follow-through.
  • Excellent organizational and time-management skills.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Strong problem-solving, judgment, and communication skills.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • Experience in construction, industrial services, manufacturing, or field-service payroll is a plus.
