Payroll Manager (Multi-Entity | ADP | Compliance Focus)

Location: Great Neck, NY (On-Site, 5 Days/Week)

Employment Type: Full-Time, Permanent

Compensation: $90,000-$100,000


We are a Commercial Real Estate Investment Firm with 160+ properties across the country. We are seeking an experienced Payroll Manager to oversee and execute payroll operations across multiple entities. This role owns end-to-end payroll processing in ADP, including multi-entity structures, multi-state compliance, unemployment taxes, and workers’ compensation. The ideal candidate is detail-oriented, highly organized, and capable of managing complex payroll structures in a fast-paced environment.

This is a roll-up-your-sleeves position for someone who can operate independently and manage complexity without hand-holding.


Key Responsibilities

Payroll Processing & Administration

  • Manage full-cycle payroll processing for multiple entities using ADP
  • Ensure accurate and timely payroll processing (both weekly and bi-weekly)
  • Maintain payroll records, earnings, deductions, and benefits across entities
  • Reconcile payroll reports and general ledger entries

Multi-Entity & Multi-State Compliance

  • Oversee payroll operations across multiple FEINs and legal entities
  • Ensure compliance with federal, state, and local wage and hour laws
  • Handle multi-state payroll tax registrations, filings, and audits.

Tax & Regulatory Management

  • Manage unemployment insurance (SUI) accounts, rates, and filings across states.
  • Monitor and respond to unemployment claims and notices.
  • Oversee workers’ compensation reporting, audits, and policy coordination.
  • Partner with brokers/carriers to ensure proper classification and coverage.

ADP System Management

  • Serve as subject matter expert for ADP payroll systems.
  • Configure earnings, deductions, tax settings, and entity structures.
  • Troubleshoot system issues and coordinate with ADP support.
  • Implement process improvements and automation within ADP.

Reporting & Audits

  • Prepare payroll reports, tax filings, and year-end processing (W-2s, 941s, etc.).
  • Support internal and external audits.
  • Analyze payroll data for accuracy and cost control.

Team & Cross-Functional Collaboration

  • Collaborate with HR, Finance, and Accounting teams.
  • Provide guidance on payroll-related policies and compliance.

Qualifications

  • 5+ years of payroll management experience, including multi-entity payroll.
  • Strong hands-on experience with ADP (required).
  • Extensive knowledge of unemployment taxes (SUI) and workers’ compensation.
  • Experience with multi-state payroll compliance.
  • CPP (Certified Payroll Professional) preferred.
  • Strong Excel and reporting skills.
  • High attention to detail and problem-solving ability.

Preferred Experience

  • Experience managing payroll for companies with complex entity structures.
  • Familiarity with audits, tax notices, and rate management.
  • Background in industries with high employee volume or multiple locations.

Requirements

  • Strong ADP experience (Workforce Now or similar) — must have
  • Experience running payroll across multiple entities
  • Deep knowledge of multi-state payroll compliance
  • Hands-on experience with unemployment taxes (SUI) and workers’ comp insurance
  • Highly detail-oriented, organized, and responsive
  • Able to operate independently in a fast-paced environment

Nice to Have

  • Commercial real estate or property management experience
