Position Summary
The Payroll & Accounting Specialist supports the accurate and timely processing of weekly payroll for union and non-union employees and provides accounting support to the Finance Department. This position assists the Payroll Manager with payroll operations, reconciliations, and related administrative work to maintain compliance with company standards and applicable regulations.
Duties and Responsibilities
Payroll Functions
· Assist the Payroll Manager with weekly payroll processing for union and non-union employees.
· Verify timecard accuracy, wage rates, and deductions prior to payroll submission.
· Update employee payroll information, including wage changes and time-off balances.
· Prepare required union payroll submissions, including dues and fringe benefits reporting.
· Maintain payroll records and documentation in accordance with company policies and audit requirements.
· Respond to payroll-related inquiries from employees and leaders.
· Coordinate with HR to ensure employee data changes are accurately reflected in payroll systems.
Accounting Support Functions
· Perform payroll, bank, and general ledger account reconciliations
· Assist with month-end and year-end close processes
· Process vendor invoices and employee expense reimbursements
· Maintain organized records to support internal controls, audit standards, and retention policies
· Perform other duties as assigned to meet business needs.

· None
Skills and Abilities
· Current knowledge of payroll procedures and related laws.
· Advanced proficiency in Microsoft Excel (creating tables & formulas, pivot tables and V lookup etc.)
· Strong Attention to detail and accuracy required, analytical mind and excellent math skills.
· Ability to work independently in a time sensitive environment with strict deadlines.
· Outstanding communications skills both oral and written.
· Active listener and effective communicator, both orally and written.
· Familiarity with payroll software/HRIS e.g.: NexGen and Paycom.
Education and Experience
· One to two years of payroll and accounting or bookkeeping experience, including support of reconciliations and month-end processes, strongly preferred.
· High school diploma or equivalent; Associate’s degree in accounting or business preferred.
· Experience with union payroll or collective bargaining agreements preferred.
Physical Requirements
· Close visual acuity required to enter, read and edit data on a computer screen.
· Keen hearing with the ability to communicate via telephone for extended periods.
· Sitting most of the workday with occasional walking/standing.
· Ability to ascend/descend a flight of stairs.
· Ability to exert up to 20 lbs. of force occasionally to lift/carry (heavy lifting not required).
