POSITION PURPOSE

As a Deposit Operations Specialist I, you will be a key contributor to the efficient and accurate processing of deposit-related transactions. This role encompasses both internal and external support, member interaction, data management, and cross-departmental collaboration to uphold the integrity of our deposit operations. You will provide reliable and effective support to the Deposit Operations Team, ensuring service delivery aligns with 4Front’s established service level standards and expectations.


ESSENTIAL FUNCTIONS AND BASIC DUTIES

Assumes responsibility for the accurate & timely completion of Deposit Operation functions.

  • Perform a wide range of rotating weekly tasks that support the credit union’s back-end account operations. Responsibilities include processing and reconciling incoming mail, loan payoffs, and payments from dealers, insurance companies, and collections. Accurately manage legal documents such as garnishments, levies, subpoenas, and verification of deposits. Maintain, audit, and process IRA and HSA accounts, including transaction review, account openings and closures, tax reporting, and frontline support. Handle account maintenance and research requests, including returned checks, statement and image requests, check adjustments, payroll posting, TIN matching, and EFT setups. Reconcile credit card cash advances, remote deposits, and returned items, and ensure timely submission of state and federal tax payments. Deliver accurate recordkeeping and interdepartmental service support while ensuring compliance and data integrity.
  • Responsible for verifying account modifications, reports and documents to confirm accuracy, input and compliance.
  • May prepare various written materials, including correspondence, responses, and other documents related to member accounts, research, or adjustment processing.
  • Collaborate with Deposit Operations Manager to resolve suspicious transactions and unusual occurrences.
  • Participate in ongoing skills, compliance, risk management and security training. Stay informed about relevant banking regulations and ensure that deposit operations adhere to all compliance standards.


Assumes responsibility for establishing and maintaining effective business and working relations with Credit Union personnel, management, members, vendors, and trade professionals.

  • Provide exceptional customer service to account holders by addressing inquiries, resolving issues, and offering guidance on deposit operations matters.
  • Assists with questions and problems courteously and promptly.
  • Maintains the Credit Union's professional reputation and confidentiality of member information.
  • Actively and professionally cross sells Credit Union products and services.
  • Assists and supports department personnel. Work closely with other departments, such as the front line, compliance, payments and accounting, to streamline deposit operations processes.
  • Coordinates activities with related departments and obtains or conveys information as needed.
  • Keeps supervisor informed of area activities and of any significant problems.
  • Attends and participates in meetings as required.

  • Ensures work area is clean, secure, and well maintained.
  • Completes special projects as assigned. Performs all work in compliance with established 4Front Credit Union regulations, policies and instructions.
  • Comply with the U.S. Patriot Act and the Credit Union’s Bank Secrecy and OFAC Policies and Procedures.
  • Comply with the Gramm-Leach Bliley Act and the Credit Union’s Information Security program, maintaining the privacy and security of information, systems, and locations.


PERFORMANCE MEASUREMENTS

  • Calls, service events, tasks and inquiries are courteously and professionally handled or referred. Professional relations exist with all contacts. Confidentiality is consistently demonstrated in regard to member and Credit Union information.
  • Account processing and assigned clerical functions are completed in accordance with established policies and procedures. Typing is neat, accurate, and promptly completed.
  • Reports are completed correctly and on time. Weekly task list is completed, timely, efficiently and correctly.
  • Good working relations exist with Credit Union personnel and management and assistance is provided as needed. Management is appropriately informed.
  • Good working relationships, DEI and collaborative initiatives exist with credit union personnel.
  • Duties are efficiently, effectively, and accurately performed in accordance with established policies, standards and security procedures.


Requirements


QUALIFICATIONS

EDUCATION/CERTIFICATION:

  • High school graduate or equivalent. Associates degree in finance, business or a related field is a plus.


REQUIRED KNOWLEDGE:

  • Basic understanding of business service functions.
  • Knowledge of related computer applications and banking software.


EXPERIENCE REQUIRED:

  • Previous experience in deposit operations, banking or similar role preferred.


SKILLS/ABILITIES:

  • Strong understanding of credit union products and services.
  • Excellent typing abilities and phone skills.
  • Effective communication and interpersonal skills.
  • Well organized and attentive to detail.
  • Knowledge of regulatory requirements related to deposit operations.
  • Able to use PC, printer, phones, and basic business equipment.

FINGER DEXTERITY:

  • Sedentary work; sitting most of the time. Exerts up to 50 lbs. of force occasionally. (Almost all office jobs.)

MENTAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION

REASONING ABILITY:

  • Ability to apply common sense understanding to carry out detailed but uninvolved instructions and to deal with problems involving a few variables.


MATHEMATICS ABILITY:

  • Ability to perform very basic math skills including adding, subtracting, multiplying, and dividing and use decimals to compute ratios and percentages.


LANGUAGE ABILITY:

  • Ability to use passive vocabulary of 5,000-6,000 words; define unfamiliar words in dictionaries for meaning, spelling, and pronunciation.
