Legal Practice Assistant
Our client, a well-established and highly respected law firm, is seeking an experienced Practice Assistant to support attorneys and paralegals in a fast-paced, team-oriented environment. This role is ideal for a detail-oriented professional who thrives in a collaborative legal setting and enjoys supporting multiple stakeholders.
The Practice Assistant provides administrative and legal support to a group of attorneys, ensuring efficient day-to-day operations and high-quality client service. This role involves managing documentation, calendars, billing coordination, and general administrative functions, while maintaining accuracy and professionalism at all times.
Key Responsibilities
- Prepare, format, and proofread legal documents, correspondence, and memoranda
- Assist with document revisions, redlining, and e-filing as needed
- Manage incoming and outgoing mail, including coordinating specialized deliveries
- Maintain and coordinate attorney calendars, including meetings, deadlines, and client commitments
- Organize and maintain electronic and physical files in accordance with firm policies
- Enter and manage attorney time entries, expense reports, and billing coordination
- Prepare new matter documentation and support onboarding of new cases
- Screen calls, manage communications, and greet clients professionally
- Coordinate travel arrangements, meeting logistics, and conference room scheduling
- Provide proactive administrative support by anticipating attorney needs and managing priorities
- Offer backup support to other team members and office functions as needed
Qualifications
- 4+ years of experience as a legal assistant, practice assistant, or legal secretary
- Experience supporting multiple attorneys preferred
- Strong knowledge of legal terminology, documents, and processes
- Proficiency in Microsoft Office and legal software (document management, time entry, e-filing systems)
- Excellent written and verbal communication skills
- Highly organized with strong calendaring and file management skills
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Strong attention to detail and problem-solving skills
- Ability to work both independently and collaboratively
