Operations Manager, Asset Management – Commercial & Multifamily Real Estate
The Operations Manager is responsible for leading the operational performance, strategic execution, and day-to-day oversight of the company’s residential multifamily and commercial assets. This role collaborates closely with third part property management, ensuring that all properties operate efficiently, achieve financial and operational targets, and deliver best-in-class resident and tenant experience.
The position requires a deep understanding of property operations, financials, leasing, and cross-department coordination. The Operations Manager will partner closely with property management, construction, leasing brokers, accounting, and ownership to ensure the successful execution of business plans and operational strategies across the portfolio.
General Responsibilities
Operational Performance & Property Oversight
- Work with Investments lead to oversee the operational performance of all multifamily, office, and retail assets, ensuring alignment with annual budgets, business plans, and ownership objectives
- Monitor occupancy, lease-up velocity, rent trends, tenant retention, operating expenses, and net operating income (NOI) performance
- Conduct regular property performance reviews with management teams, ensuring operational issues are identified and resolved promptly
- Ensure compliance with company standards regarding maintenance, resident/tenant experience, site appearance, safety, and service quality
- Guide third party property management teams through asset transitions as properties are delivered by construction and placed in operation
- Understand operational performance of each asset and the portfolio and be able to communicate such to company executives
Leasing Strategy & Tenant Management
- Partner with residential, office, and retail leasing teams to develop and execute leasing strategies that maximize occupancy, rent growth, and tenant mix quality
- Review and approve commercial LOIs, leases, amendments, and renewals; ensure terms align with ownership’s financial and strategic goals
- Track lease expirations, renewals, and tenant performance; implement proactive strategies to mitigate rollover risk
- Maintain strong relationships with key tenants, brokers, and leasing partners to ensure smooth coordination and high retention
Financial Oversight, Budgeting & Reporting
- Collaborate with onsite property management and Investments lead to complete annual budgets and reforecasts for each asset, ensuring operating assumptions are realistic, achievable, and strategically aligned
- Review and analyze monthly financials, variance reports, and KPI dashboards; recommend corrective actions as needed
- Monitor operating expenses, vendor contracts, and service agreements to ensure cost effectiveness and service quality. Work with existing and new third party vendors to periodically re-bid contracts
- Partner with accounting on monthly closes, CAM reconciliations, tax assessments, and year-end reporting
- Provide written and oral financial and operational updates to senior leadership on a recurring cadence
Capital Projects, Maintenance & Property Improvements
- Oversee capital improvement planning, execution, and budgeting for both residential and commercial assets
- Ensure projects are completed on time, within budget, and consistent with the approved scope and brand/quality standards
- Coordinate closely with construction teams, engineers, and property managers to minimize operational disruption
- Maintain a long-term capital plan for each asset to ensure sustainability, competitiveness, and compliance
Resident & Tenant Experience Leadership
- Ensure that multifamily communities deliver exceptional resident satisfaction through service quality, communication, and amenities
- Work with retail and office tenants to support their operational needs and maintain strong landlord-tenant relationships
- Track NPS, online reviews, and satisfaction metrics; develop action plans to resolve recurring issues. Consolidate feedback for reporting and as “lessons learned” for future projects and initiatives
Cross Department Collaboration
- Work closely with development and construction to transition new assets into operations, ensuring readiness across leasing, maintenance, staffing, accounting and budgeting
- Collaborate with Investments on cash flow planning, operational assumptions, lender reporting, and closing of transactions
- Align with marketing teams to ensure brand consistency, digital presence, and effective lead generation strategies
