What you will be doing

As an Operations Coordinator, you will be responsible for efficiently managing day-to-day operational activities that connect customers, suppliers, and internal teams across the logistics chain. You will handle customer bookings received through multiple channels, ensure accurate and timely export and import documentation, and oversee precise execution of invoicing in line with STC’s procedures and customer-specific requirements. You will also play a key role in issue resolution, supporting continuous improvement initiatives, assisting Operations Team Leads with projects, maintaining close communication with local operational teams, and ensuring that all operations follow safety regulations while embodying STC’s mission and vision.

Key responsibilities

  • Process customer bookings received via Web, EDI, API, and email, ensuring timely and correct handling and meeting agreed KPIs; Coordinate accurate processing and distribution of shipping instructions and any documentation related to additional charges, such as manifest corrections.
  • Select the optimal ocean carrier based on cost, speed, or sustainability and communicate vessel/voyage information to customers; Follow up with ocean carriers regarding amendments and ensure timely receipt of Bills of Lading.  
  • Handle export documentation, including punctual and precise shipping instructions in line with STC’s quality procedures; Send documentation to customers and create/distribute release instructions to ocean carriers and terminals.
  • Ensure systems are updated with all necessary details and information required to successfully ship containers; Monitor and control the end-to-end process for import shipments, including verifying estimated arrival information.  
  • Execute STC’s billing procedures accurately and efficiently; Issue invoices for additional charges in accordance with STC’s additional charge tariff and/or customer-specific billing requirements.  
  • Register events and non-conformities when suppliers fail to meet STC’s or customers’ service-quality expectations.  
  • Contribute to identifying root causes, and corrective and preventive actions where necessary;  Identify opportunities for process improvements, cost savings, and operational efficiencies, supporting continuous improvement initiatives. 
  • Uphold compliance with industry regulations and safety standards, ensuring safe and responsible operations;  Identify solutions to minimize disruptions in the logistics process, such as delays, route changes, and incidents.  

 

Qualifications

  • Bachelors degree in Business Administration. 
  • A minimum of 2 years experience in operations and logistics industry experience is a plus.
  • Excellent communication skills in English and Spanish.
  • Strong organizational skills and multitasking abilities.
  • Excellent computer skills, particularly with Microsoft Suite.
  • Must have experience working in an international environment
