A rapidly scaling AI voice platform startup is seeking an experienced Office Manager to own and elevate workplace operations across two office floors. The company is building the leading platform for deploying voice agents and is redefining how humans interact with technology. With 600K+ developers and rapid daily growth, this is a high-impact role at the center of a fast-moving, high-energy startup environment. This role is ideal for someone highly operational, detail-oriented, and proactive—who thrives in ambiguity, builds structure where none exists, and continuously improves systems, vendors, and workplace experience.
What You’ll Do
• Own day-to-day office operations across two floors, ensuring a clean, organized, and fully functional workspace
• Manage vendors and recurring services including food, cleaning, supplies, and facilities
• Track inventory, ordering cadences, and budgets to ensure efficiency and cost control
• Maintain a welcoming, high-functioning office environment for employees, guests, and leadership
• Identify inefficiencies and proactively implement process improvements
• Serve as the primary point of contact for building management, vendors, and contractors
• Manage COIs, access requirements, maintenance requests, and compliance documentation
• Support vendor negotiations and identify opportunities for cost savings and service optimization
• Coordinate office improvements, build-outs, and workspace enhancements
• Anticipate future office needs as the company scales
• Manage office access systems, seating charts, and hardware tracking
• Coordinate laptop provisioning, resets, and offboarding in partnership with IT
• Ensure AV systems, meeting rooms, and conferencing tools are consistently operational
• Conduct regular workplace and systems checks to proactively resolve issues
• Act as on-site host for guests, candidates, executives, and partners
• Support onboarding by preparing desks, access, and office readiness for new hires
• Partner with People and leadership teams to support internal events and gatherings
• Help shape an office environment that reflects a high-energy, thoughtful, and collaborative culture
• Plan and execute company events including offsites, recruiting events, team gatherings, and celebrations
• Manage venue sourcing, catering, budgets, and vendor coordination
• Partner with internal teams (Sales, Recruiting, People) to execute event objectives
• Track RSVPs, timelines, budgets, and post-event feedback
• Build and maintain relationships with local vendors and venues
• Audit and refine existing office processes and workflows
• Build and maintain scalable SOPs to support company growth
• Continuously improve systems to reduce friction and increase efficiency
• Proactively identify what the office will need next—not just what it needs today
Who You Are
• 5+ years of experience in office operations or workplace management (startup or tech strongly preferred)
• Strong experience working with vendors, contractors, and building management
• Highly proactive and operationally minded—you solve problems before they surface
• Comfortable thriving in a fast-paced, constantly evolving startup environment
• Exceptionally organized with strong attention to detail
• Clear communicator with a professional, composed presence
• Hands-on and willing to step in wherever needed
• Strong sense of ownership and ability to manage multiple priorities
