ABOUT THE JOB

We are looking for a highly organized and proactive Office Manager to help keep our headquarters running smoothly. This role plays a key part in supporting daily office operations, coordinating administrative processes, and ensuring our team has the resources and structure needed to work efficiently.


Reporting to the leadership team, the Office Manager will oversee day-to-day office functions, coordinate with multiple departments, manage vendor relationships, and support internal operations that keep the business moving forward. This role requires someone who thrives in a fast-paced environment, is detail-oriented, and enjoys building organized systems that support a growing team and company.

Job Purpose

The Office Manager is responsible for ensuring the smooth day-to-day operations of the office by overseeing administrative functions, managing office resources, and supporting employees and leadership with operational needs. This role coordinates office logistics, maintains facilities and equipment, manages supplies and vendor relationships, and supports onboarding and workspace setup for new employees. The Office Manager also assists with executive scheduling, office events, and internal communication to create an organized, efficient, and productive work environment. Through strong organizational skills and proactive problem-solving, this position helps maintain a well-run office that supports team productivity and a positive workplace experience.


General Responsibilities

  • Administrative Support:

Schedule meetings, appointments, coordinate weekly office lunch, events (i.e., Holiday party), and maintain file systems. Set up and clean up weekly office lunches and other office events. Coordinate flights and accommodations for vendors and staff as needed. Facilitate the purchase process for internal purchase requests while adhering to GOAT USA policies.

  • Office Equipment:

Oversee and maintain office equipment (i.e. copier, vending machines), identify needs, and acquire supplies.

  • Employee Onboarding Support:

Assist with desk setup and onboarding for new employees, ensuring they have the necessary equipment and resources to start their roles effectively.

  • Computer Setup and IT Support:

Assist with the setup of computers and other office technology, providing basic IT support and troubleshooting to ensure employees have productive workdays.

  • Space Planning:

Manage all aspects of space planning, including moves, additions, and changes to workstations.

  • Communication:

Ensure intra-office communication protocols are in place and keep management informed regularly.

  • Inventory Control:

Take inventory of office supplies, drinks, snacks, kitchen supplies, and order more when needed.

  • Facilities Management:

Deal with maintenance and building management, coordinating weekly cleanings, decorating, finding and negotiating with contractors and suppliers. Manage office infrastructure (e.g. buying and building desks).

  • Health and Safety:

Monitor the overall health and safety of the office.

  • Assistance to Executives:

Maintain and organize executive calendars, scheduling meetings and appointments efficiently while prioritizing and coordinating conflicting commitments.

  • Employee Purchases:

Assist with ringing up employee purchases in accordance with GOAT USA policies.


Skills

  • Proven experience as an Office Manager or Administrative Assistant.
  • Knowledge of office administrator responsibilities, systems, and procedures.
  • Proficiency in Google and Microsoft Office
  • Excellent time management skills and ability to multitask and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.
  • A creative mind with an ability to suggest and implement improvements.

  • Normal working hours are from 9:00 a.m. to 5:30 p.m., Monday through Friday; must be flexible to work evenings and occasional weekends.
