Our client, a dynamic real estate investment firm and family office, is seeking a highly organized and proactive Office Administrator to ensure smooth day-to-day operations while supporting key finance functions.


This is a dual role, evenly split between office/real estate administration and accounting support. You’ll partner closely with the SVP of Finance, contributing to accounts payable, accounts receivable, bank reconciliations, and other financial processes across a multi-entity portfolio.


The firm specializes in value-add multifamily and retail investments. This role is ideal for someone who enjoys variety, thrives in a structured environment, and takes pride in keeping both operations and financial records running seamlessly.


Key Responsibilities

Office & Real Estate Administration (≈50%)

  • Oversee daily office operations, including supplies, vendors, and facilities management
  • Manage lease abstraction and administration for commercial properties (Yardi experience preferred)
  • Track and maintain certificates of insurance (COIs) for tenants and vendors, including renewals
  • Coordinate vendor contracts (copier, IT, postage, and other office services)
  • Prepare and manage property management agreements and related documentation
  • Organize document execution, filing systems, and digital recordkeeping
  • Assist with website updates and general office administration
  • Provide administrative support to the SVP of Operations


Finance & Accounting Support (≈50%)

  • Process accounts payable: review, code, and enter invoices; manage approval workflows; maintain vendor records (Yardi)
  • Support accounts receivable: invoicing, payment application, collections, and aging tracking
  • Perform monthly bank and credit card reconciliations across multiple entities
  • Assist the Head of Finance with data entry and month-end close activities


Qualifications

  • Strong organizational skills with exceptional attention to detail
  • Excellent written and verbal communication skills
  • Hands-on experience with accounts payable, accounts receivable, and reconciliations
  • Solid understanding of basic accounting principles
  • Proficiency in Microsoft Office (especially Excel), Adobe Acrobat, and DocuSign
  • Experience in real estate and/or property management preferred
  • Familiarity with Yardi is a plus
  • Ability to manage multiple priorities in a fast-paced environment
  • High level of discretion, reliability, and professionalism
