The U.S. Department of Veterans Affairs is seeking a highly skilled and detail-oriented Medical Equipment Planner to support large-scale healthcare construction and activation projects.

This role is ideal for someone who thrives at the intersection of clinical operations, design coordination, and technical planning, ensuring that medical equipment is seamlessly integrated into patient care environments.

🧭 Position Overview

The Medical Equipment Planner works under the direction of the Supervisory Interior Designer to independently plan, coordinate, and execute equipment planning for major healthcare projects.

You will play a critical role in equipment specification, procurement, budgeting, and activation, ensuring all medical equipment aligns with facility design, clinical workflows, and regulatory standards.

🎯 Key Responsibilities🏥 Equipment Planning & Design Integration
  • Plan and coordinate medical equipment for a variety of spaces including:
  • Patient care and treatment rooms
  • Conference rooms, waiting areas, and lobbies
  • Clean/soiled utility rooms, medication rooms, and support spaces
  • Analyze architectural drawings, equipment plans, and infrastructure systems
  • Identify and resolve gaps, overlaps, and conflicts between equipment and building design
  • Ensure proper integration with electrical, IT, security, and clinical systems
📦 Procurement & Budget Management
  • Develop procurement packages including:
  • Statements of Work (SOW)
  • Technical specifications
  • Independent Government Cost Estimates (IGCE)
  • Bid sheets, budgets, and supporting documentation
  • Track procurement packages, financials, and project schedules
  • Coordinate with vendors on equipment delivery, installation, and timelines
  • Conduct value analysis and reuse studies for existing equipment
🔍 Inventory, Activation & Implementation
  • Perform equipment inventory audits and develop reuse recommendations
  • Plan and coordinate movement of existing equipment alongside new installations
  • Support full activation of healthcare spaces, ensuring operational readiness
  • Oversee installation processes and ensure compliance with project requirements
� Technical Coordination & Compliance
  • Collaborate with architects, engineers, and clinical stakeholders
  • Ensure compliance with VA standards and regulatory bodies including:
  • The Joint Commission (TJC)
  • NFPA, FDA, NRC, AAMI
  • VA Technical Information Library (TIL)
  • Review design documents for accuracy and alignment with equipment plans
  • Serve as technical expert for medical equipment specifications
📚 Documentation & Training
  • Maintain equipment planning documentation, procurement files, and project records
  • Manage digital resource libraries for equipment and project documentation
  • Provide training and support to clinical staff and end users during move-in
  • Coordinate with Biomedical and Logistics teams for equipment tracking and system integration
🤝 Communication & Collaboration
  • Work closely with multidisciplinary teams including:
  • Engineering, Facilities, IT (OIT), Biomedical, Logistics, and Contracting
  • Participate in planning and activation meetings
  • Provide clear, accurate communication on equipment planning and project status
  • Identify risks early to prevent delays and cost overruns
💡 Qualifications & Experience
  • Strong knowledge of medical equipment planning and healthcare environments
  • Ability to interpret architectural drawings and technical specifications
  • Experience writing equipment specifications and Statements of Work (SOW)
  • Understanding of healthcare regulations, safety codes, and facility standards
  • Experience with equipment procurement, budgeting, and lifecycle planning
🧰 Technical Skills
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
  • Experience with procurement tracking and documentation systems
  • AutoCAD and Microsoft Project (preferred but not required)
