Responsibilities
Overview
We are seeking a Marketing Assistant for our Hamburg office. In this highly operational, full-time role (requiring on-site presence), you are the logistical and administrative heart of the German department. You will ensure that our high-tech training simulators function flawlessly, event materials arrive on time, and the team is perfectly supported with bookings and daily office routines. You will be the primary local point of contact for our sales team.
Key Responsibilities
Event Material & Logistics
- Support the preparation of events by physically packing, sorting, and compiling all event-related materials (boxes for Roundtables and congresses).
- Coordinate shipments for all event material, including preparing boxes and creating shipping labels.
- Organize the return logistics for shipped materials, including receiving shipments, checking marketing and event materials for completeness, replenishing/restocking missing inventory, and preparing everything for the next deployment.
- Maintain an overview of the marketing material stock, continuously monitor inventory levels, and ensure quality control of returned items.
Office & Sales Support
- Act as the central in-house Sales Support contact for the field team, handling administrative sales tasks such as the initial processing and documentation of product complaints (complaint handling) and routing them to the appropriate regulatory/quality departments.
- Organize hotel bookings and meeting rooms for events, significantly supporting the team (specifically relieving the workload for Prof Ed workshops).
- Take over general office duties, manage incoming mail, and act as the central, present point of contact in the Hamburg office.
- Maintain and update Excel lists, project overviews, participant lists, and customer feedback logs.
- Assist in the preparation of contracts by filling out templates with relevant information and organizing documents for signature.
Contracting & Compliance
- Compliance Ownership: Prepare and submit all compliance approvals via the Compliance system for workshops, sponsorships, and events. Ensure timely submission, obtain necessary approvals, and strictly adhere to HCC (Health Care Compliance) guidelines.
- System Closing: Fully close Compliance process, IDs after events by ensuring all audit-relevant documents (participant lists, certificates, evaluation forms) are uploaded.
- Contract Management: Prepare, send, and track sponsorship contracts and speaker agreements/framework contracts for all Cordis events, ensuring legal compliance and signatures are obtained prior to the event dates.
Simulator Management and Logistics
- Overall Responsibility: Manage all training simulators in Hamburg, including storage, organization, and documentation.
- Hands-on Testing: Perform physical completeness checks and technical functional controls before and after every shipment.
- Shipping Coordination: Coordinate simulator shipments for events (often requiring same-day turnarounds), including physical packaging, handover to logistics partners, and tracking.
- Maintenance: Replenish missing or consumed materials for the simulators, monitor service intervals, and prepare defective parts for repair to ensure constant readiness.
Qualifications
- Education: Successfully completed commercial training/apprenticeship (e.g., Kaufmann/-frau für Büromanagement, Industriekaufmann/-frau, Speditionskaufmann/-frau) or a degree in Business Administration.
- Experience: Initial professional experience in office management, logistics assistance, event logistics, or a commercial administrative role.
- Skills:
- Strong "hands-on" mentality – you are happy to pitch in and have a good feel for physical logistics (hardware, packaging).
- Excellent organizational talent and the ability to maintain an overview even with short-notice (same-day) requests.
- High reliability and accuracy (crucial for quality controls and bookings).
- Proficient in MS Office.
- Fluent German and good English skills.
