Responsibilities

Job Summary and Responsibilities

Congress & Event Management

  • Plan, coordinate, and organize Cordis's participation in national congresses, exhibition booths, local sponsorship events, and workshops.
  • Act as the primary point of contact and coordinate with external event organizers regarding logistics, booth execution, and Cordis’s presence.
  • Manage the registration process for Healthcare Professionals (HCPs) and internal team members attending national congresses.
  • Book and coordinate hotels, meeting venues, and travel arrangements for the Cordis team specifically for congress attendances, ensuring alignment with compliance guidelines.

Agency Steering & Budget Monitoring

  • Coordinate, steer, and instruct various external service providers and agencies, including booth builders, advertising agencies, catering services, and barkeepers.
  • Ensure strict adherence to project deadlines across all external partners.
  • Monitor, control, and document all congress-related costs (e.g., agencies, exhibition booth setup, hotels, and catering) to stay within the approved budget constraints.

Digital Marketing & Brand Strategy Support

  • Support the local digital marketing strategy by utilizing various digital channels (e.g., social media, event campaigns) to promote Cordis’s presence at congresses and ensure a positive public perception of the brand.
  • Ensure consistent brand communication, uniform messaging, and correct corporate branding across all external appearances and digital platforms.

Operational Material Creation & Copy Clearance

  • Support the department head by taking over the operational execution of marketing materials: Manage the development, procurement, and reproduction of printed marketing and promotional materials, including event flyers and brochures.
  • Take ownership of the internal "Copy Clearance" process, actively managing the approval of all newly created marketing and event materials to ensure full regulatory and corporate compliance before publication.
  • Conduct quality checks on produced materials and independently coordinate the dispatch and storage of materials to the central LEON warehouse.

Qualifications

Required Qualifications

  • Education: Successfully completed commercial training/apprenticeship in a relevant field (e.g., Event Management Assistant / Veranstaltungskaufmann/-frau, Marketing Communications) OR a degree in Business Administration, Marketing, Event Management, or a related field.
  • Experience: Solid professional experience in event and congress management, marketing assistance, or project coordination, ideally within the medical device, healthcare, or pharmaceutical industry.
  • Skills:
    • Strong organizational skills and proven experience in coordinating external service providers and agencies (e.g., booth builders, printers).
    • Excellent communication skills, a confident demeanor, and a strong sense of responsibility for budget monitoring and project timelines.
    • Detail-oriented and accurate working style, especially important for managing the internal "Copy Clearance" processes and quality checks of marketing materials.
    • Affinity for digital marketing and brand communication.
    • Proficient in MS Office suite.
    • Fluent in German and good command of English (written and spoken).
