Summary
The Traffic Coordinator is responsible for managing domestic and international shipments, ensuring accurate documentation, timely delivery, and cost-effective logistics operations. This role supports inbound and outbound unit and parts shipments while maintaining compliance with shipping and customs requirements.
Essential Duties and Responsibilities
- Coordinate domestic and international shipments, including booking freight and communicating with carriers and forwarders
- Prepare and review shipping documentation, including freight bills, invoices, customs documentation, and tariff classifications
- Manage tariff classifications and compliance, including filing duty-free exemptions where applicable to reduce tariff impact
- Communicate directly with customers to coordinate shipment details, delivery requirements, and documentation needs
- Verify shipment accuracy (quantities, addresses, and freight rates) prior to dispatch
- Ensure timely pickup and same-day shipment of outbound freight (exceptions require approval)
- Review and approve freight invoices; resolve billing discrepancies and manage freight claims
- Track shipments, including tracing lost or delayed freight and obtaining proof of delivery
- Request and evaluate freight quotes, transit times, and carrier performance
- Negotiate freight rates and maintain strong carrier and forwarder relationships
- Maintain records and provide communications for all shipping and logistics activities
- Provide guidance on optimizing packaging and arrangement of equipment
- Maintain current knowledge of regulations related to transportation
Education, Skills and Experience
- Bachelor’s degree in Supply Chain, Logistics, Business, or related field required
- Up to 5 years of experience in logistics, transportation, or supply chain operations preferred
- Working knowledge of domestic and international shipping processes, customs requirements, and tariffs
- Strong attention to detail, organization, and problem-solving skills
- Proficiency with Microsoft Office (especially Excel and Outlook) required
- Effective communication skills with both internal teams and external customers
