Litigation Secretary

A leading San Francisco law firm is seeking a highly skilled and detail-oriented Litigation Secretary to support a team of attorneys in a fast-paced, high-profile litigation practice. This role requires a proactive professional with exceptional organizational skills, discretion, and the ability to manage complex workflows under tight deadlines.
Key Responsibilities
Provide comprehensive administrative support to litigation attorneys, including calendar management, meeting coordination, and travel arrangements
Prepare, revise, and format legal documents such as pleadings, motions, discovery, and correspondence
Handle electronic court filings (state and federal), ensuring compliance with court rules and deadlines
Maintain and monitor litigation calendars, including court dates, deadlines, and client obligations
Manage case files (electronic and physical), ensuring accuracy and organization
Coordinate with clients, opposing counsel, court personnel, and vendors professionally and efficiently
Assist with trial preparation, including binders, exhibits, and logistics
Process expense reports, invoices, and time entries as needed
Qualifications
Minimum of 5+ years of litigation secretarial experience, preferably in a large or prestigious law firm
Strong knowledge of federal and California court rules and e-filing procedures
Advanced proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
Experience with document management and timekeeping systems (e.g., iManage, Elite)
Exceptional attention to detail, grammar, and proofreading skills
Ability to prioritize multiple assignments and meet competing deadlines
Strong interpersonal skills and a professional demeanor
Preferred Qualifications
Experience supporting multiple attorneys in complex litigation matters
Trial experience is highly desirable
Familiarity with litigation support tools and e-discovery platforms
