The Role
The Legal Secretary will provide comprehensive administrative and legal support to attorneys and legal professionals within a dynamic business practice. Responsibilities include calendar management, travel coordination, document preparation, billing support, client communication, and overall practice management assistance.
This role is particularly well-suited for someone who enjoys balancing executive support responsibilities with legal administrative work and thrives in a collaborative team environment.
Key Responsibilities
Attorney & Executive Support
- Manage complex calendars, scheduling, and meeting coordination for multiple attorneys
- Coordinate domestic and international travel arrangements and itineraries
- Serve as a primary point of contact for attorney scheduling and administrative requests
- Assist with email management, client communications, and meeting logistics
- Coordinate virtual and in-person meetings and conference arrangements
Legal & Administrative Support
- Prepare, revise, proofread, and format legal and business documents
- Assist with document redlining, revisions, and final production
- Maintain electronic files and document management systems
- Support new matter intake processes and administrative documentation
- Coordinate signatures, document execution, and closing materials
Billing & Practice Support
- Process attorney time entry, invoices, expense reports, reimbursements, and billing-related tasks
- Assist with pre-bill review and administrative financial processes
- Support business development activities and client relationship management efforts
- Coordinate administrative aspects of transactions, projects, and client matters
Team Collaboration
- Provide backup support to colleagues as needed
- Maintain professional relationships with attorneys, clients, and internal teams
- Contribute to a collaborative support environment focused on responsiveness and service excellence
Qualification
- 4+ years of legal administrative, legal secretary, or executive support experience within a law firm or legal department
- Strong calendar management and scheduling experience
- Experience supporting multiple attorneys or stakeholders simultaneously
- Strong proficiency with Microsoft Word, Outlook, and other office technologies
- Excellent written communication, proofreading, and organizational skills
- Ability to prioritize effectively in a deadline-driven environment
Preferred
- Experience supporting corporate, transactional, or business law practices
- Experience in a large or mid-sized law firm environment
- Familiarity with document management, billing, travel, and legal support systems
- Bachelor's degree or equivalent professional experience
