We are seeking a detail-oriented and organized Legal Assistant to join our team. The position involves assisting an Estate Planning Attorney/Partner with various administrative tasks and functions. The Attorney/Partner needs an awesome person to join an awesome team. The team (and entire Firm) is fun, very welcoming and continually growing. Key Responsibilities:

  • Onboard new clients and ensure all intake information is complete and accurate
  • Prepare client binders, documents and materials for signing meetings
  • Witness and notarize client documents (no current notary required)
  • Assist with forming LLCs and related business filings
  • Manage file closing procedures and ensure proper recordkeeping
  • Scan, upload, and maintain digital and physical files
  • Assist with client calls and scheduling appointments
  • Provide general administrative support to the team as needed
  • Maintains organized workflow process and task management to see all projects through to completion


Qualifications:

  • Administrative/Receptionist experience in an office environment strongly preferred, ideally more than 1 year
  • Excellent interpersonal and communication skills, verbally and in writing (including grammar & spelling)
  • Ability to learn existing procedures & organizational system and take direction/feedback graciously
  • After training, ability to work independently, take initiative and to multitask and prioritize, often under pressure and deadlines
  • Detail-oriented, organized and systematic
  • Professional appearance, reliable, with a good attendance record
  • Knowledge of confidentiality practices and procedures and ability to comply with them
  • Experience and proficiency with Microsoft Office Suite preferred


Training & Performance Expectations:

  • Initial training period will take place over the first 60–90 days, with hands-on guidance and support
  • By the end of the training period, the goal is for this role to be largely self-sufficient in managing daily responsibilities and tasks
  • Success in this role is measured by accuracy, organization, timeliness, and the ability to follow tasks through to completion
  • Consistent communication, reliability, and maintaining a high level of client service are essential
  • This position requires someone who takes ownership of their role, proactively manages their workload, and contributes positively to the team
