Legal Assistant and Firm Operations Coordinator

The Coopersmith Law Firm, LLP is seeking a Legal Assistant and Firm Operations Coordinator to join our San Diego practice in May 2026. We are an award-winning boutique business and corporate litigation and fine art law practice, located in downtown San Diego.


This role combines litigation support with firm operations and administrative responsibilities. The position supports active litigation and arbitration matters while also managing key financial, administrative, and compliance functions essential to the firm’s operations. The role typically involves an approximate 70% focus on litigation support and 30% on firm operations, though the balance may shift based on litigation deadlines and firm needs.


Key Responsibilities


Litigation Support


  • Support active litigation and arbitration matters from discovery through trial preparation
  • Manage and organize discovery materials and document productions
  • Maintain accurate document organization and version control within firm systems
  • Apply attorney edits and redlines across multiple documents
  • Assist with trial, arbitration, and hearing preparation, including organizing exhibits, preparing binders, and coordinating with witnesses and courts
  • Coordinate trial‑prep logistics, including scheduling and communications with attorneys, witnesses experts, and outside counsel
  • Serve as a central point of coordination to ensure case materials are complete, timely, and properly organized


Firm Operations & Administration


  • Prepare and distribute client invoices in coordination with attorneys
  • Track accounts receivable, including monitoring outstanding balances and following up on unpaid invoices, and coordinate regularly with the firm's bookkeeper
  • Assist with trust account and payment tracking to ensure accurate allocation of funds
  • Support professional liability insurance audits, including gathering information and coordinating responses
  • Manage firm administrative documents, employee records, and internal policies
  • Maintain organized digital filing systems
  • Coordinate with outside vendors and service providers (e.g., IT, shredding, account management)
  • Support internal scheduling, follow‑ups, and professional communications on behalf of attorneys


Qualifications


  • Bachelor's degree or equivalent
  • 2+ years' as Litigation Legal Assistant or Paralegal helpful
  • Great attitude, self-starter, attention to detail, and excellent work ethic
  • Communications skills are important
  • Strong organizational and document management skills
  • High attention to detail and discretion with confidential information
  • Professional written and verbal communication skills
  • Ability to manage multiple priorities and deadlines with minimal supervision
  • Proficiency with legal and administrative software (e.g., Clio, document management systems, electronic signature platforms)
