Reporting Relationship: Reports to Community Manager and/or Maintenance Director

Part-time hours. Between 24-32 hours/week.


JOB SUMMARY


Responsible for coordinating day-to-day operations to maintain the physical condition of the property and timely completion of vacant apartments. Ensure the quality and safety of property, staff, and residents. Maintain a positive customer service attitude by being professional, respectful, and responsive to vendors, staff, and residents. Coordinate, be available, and ensure proper response for maintenance emergencies outside of business hours.


CHARACTERISTIC DUTIES AND RESPONSIBILITIES:


  • Schedule and provide on-call maintenance on a rotational basis and carry a cell phone as required for on-call maintenance.
  • Schedule, coordinate, and monitor timely and effective completion of routine resident service requests, preventative maintenance, emergency maintenance, capital improvement projects, and tool and equipment maintenance.
  • Supervise daily activities performed by vendors, and contractors. Augment duties due to vacations, illness, etc. and provide for effective coverage of all job responsibilities when absent from the property.
  • Physically walk and inspect the property daily to monitor the appearance and cleanliness of the property, exterior lighting, building conditions, trash rooms, and document and correct any concerns or issues.
  • Prioritize and perform service requests, document issue and resolution for completed tasks, and update maintenance request status in the property management software program.
  • Perform required maintenance and/or repairs involving plumbing, carpentry, electrical, appliances, painting, drywall, HVAC, and fire and security systems.
  • Schedule, coordinate, monitor and perform work necessary to prepare apartments for the next resident in a timely manner.
  • Obtain quotes, estimates, and bids from various vendors and contractors to stay within or below the budget.
  • Supervise contractors’ onsite work performance and address any concerns in a professional manner.
  • Maintain an adequate inventory of property supplies and equipment; maintain a written fixed asset, equipment, and maintenance supply inventory; coordinate supply orders with Community Manager.
  • Code and submit receipts and other billing to Community Manager for processing.
  • Maintain tracking of appliance installations and warranties.
  • Keep maintenance storage spaces and work areas in a clean, neat, and safe manner.
  • Schedule, coordinate, and perform various safety and preventative maintenance inspections and document in required documents, files and/or logs.
  • Track and keep documents available regarding utility shut offs, meter locations, sewer clean outs, and all building systems.
  • Maintain awareness of and complete training to stay current with industry standards.
  • Report all liability, property incidents, worker injuries, accidents, emergencies, code violations, and legal and compliance directives to the Community Manager and/or the Maintenance Director.
  • Follow all company rules, regulations, policies, and procedures set forth in training sessions, manuals, and other means of communication.
  • Attend scheduled meetings as required.


COMPLIANCE:


  • Enforce and adhere to the lease and rules and regulations as appropriate to Fair Housing laws and ensure consistent treatment of all residents.
  • Conduct all business in accordance with regulations of federal and state supervisory agencies, Fair Housing, Americans with Disabilities Act, OSHA, federal, state, local, and all other laws pertaining to multifamily housing and employees.
  • Assist the Community Manager and Regional Manager in the on-going training relating to workplace safety, emergency procedures, and additional job-related training to ensure staff is in compliance with safety policies and procedures.
  • Ensure proper use of all safety gear and basic first aid. Instill a “safety first” attitude.

Requirements

Knowledge and Abilities:

  • Ability to meet and deal tactfully and courteously with fellow employees, vendors and contractors
  • Ability to install, inspects, repair, and maintain the electrical, plumbing and other related systems
  • Ability to perform various clean-up and maintenance tasks as needed.
  • Ability to update inventories and place necessary orders for tools, appliances, equipment and other supplies as needed.
  • Ability to inspect, operate and maintain the heating, and ventilation system
  • Skilled in maintaining and repairing security hardware
  • Ability to understand complex written and oral instructions
  • Thorough knowledge of the occupation hazards and corresponding safety precautions necessary for the safe performance of assigned duties

Applicant must:

  • Possess a high school diploma or equivalent.
  • Have 3+ years in multifamily site management.
  • Have prior experience related to carpentry, plumbing, electrical, appliance, HVAC, and building systems.
  • Possess a valid driver’s license and reliable transportation to work.
  • Be able to pass a drug test and background screening favorably.
  • Have basic tools needed for day-to-day operations.
