We are seeking a dedicated and highly organized HVAC Service Coordinator to join our team. The HVAC Service Coordinator plays a critical role in ensuring the efficient scheduling and execution of HVAC service and repair tasks while maintaining exceptional customer relationships. Key Responsibilities:
Scheduling and Dispatching:
- Schedule appointments for HVAC maintenance, repairs, and installations.
- Dispatch technicians to job sites based on priority and availability.
Customer Service:
- Handle customer inquiries and complaints.
- Provide information about services and scheduling.
- Ensure customer satisfaction by addressing concerns promptly.
Work Order Management:
- Create, manage, and close out work orders.
- Track the progress of each job and update status as needed.
Technician Support:
- Provide technicians with necessary job details and support.
- Ensure technicians have the tools and materials needed for each job.
Documentation and Reporting:
- Maintain accurate records of all service activities.
- Prepare and submit reports on service performance and job completion.
Coordination and Communication:
- Coordinate with other departments, such as sales and billing, to ensure seamless operations.
- Communicate with clients to confirm appointments and follow up on services rendered.
- Coordinate Travel
- Coordinate badging and site access
Training and Development:
- Organize training sessions for new and existing technicians.
- Keep up-to-date with industry developments and best practices.
Client Relationship Management:
- Build and maintain strong relationships with clients and partners.
- Conduct follow-ups to ensure continued client satisfaction and secure future business.
Emergency Response:
- Coordinate and manage emergency service calls.
- Ensure quick and efficient response to urgent HVAC issues.
Qualifications:
- High school diploma or equivalent
- Proven experience in HVAC service coordination or a related role.
- Strong understanding of HVAC systems and terminology.
- Excellent organizational and time-management skills.
- Exceptional customer service and communication abilities.
- Proficiency in MS Office Suite, including Excel, Word, and PowerPoint.
- Ability to work in a fast-paced environment and adapt to changing priorities.
- Detail-oriented with a strong commitment to accuracy.
- Team player with a positive attitude and a willingness to collaborate.
- Knowledge of HVAC industry software and tools is a plus.
