We are seeking a dedicated and highly organized HVAC Service Coordinator to join our team. The HVAC Service Coordinator plays a critical role in ensuring the efficient scheduling and execution of HVAC service and repair tasks while maintaining exceptional customer relationships. Key Responsibilities:


Scheduling and Dispatching:

  • Schedule appointments for HVAC maintenance, repairs, and installations.
  • Dispatch technicians to job sites based on priority and availability.


Customer Service:

  • Handle customer inquiries and complaints.
  • Provide information about services and scheduling.
  • Ensure customer satisfaction by addressing concerns promptly.


Work Order Management:

  • Create, manage, and close out work orders.
  • Track the progress of each job and update status as needed.


Technician Support:

  • Provide technicians with necessary job details and support.
  • Ensure technicians have the tools and materials needed for each job.


Documentation and Reporting:

  • Maintain accurate records of all service activities.
  • Prepare and submit reports on service performance and job completion.


Coordination and Communication:

  • Coordinate with other departments, such as sales and billing, to ensure seamless operations.
  • Communicate with clients to confirm appointments and follow up on services rendered.
  • Coordinate Travel
  • Coordinate badging and site access


Training and Development:

  • Organize training sessions for new and existing technicians.
  • Keep up-to-date with industry developments and best practices.


Client Relationship Management:

  • Build and maintain strong relationships with clients and partners.
  • Conduct follow-ups to ensure continued client satisfaction and secure future business.


Emergency Response:

  • Coordinate and manage emergency service calls.
  • Ensure quick and efficient response to urgent HVAC issues.


Qualifications:

  • High school diploma or equivalent
  • Proven experience in HVAC service coordination or a related role.
  • Strong understanding of HVAC systems and terminology.
  • Excellent organizational and time-management skills.
  • Exceptional customer service and communication abilities.
  • Proficiency in MS Office Suite, including Excel, Word, and PowerPoint.
  • Ability to work in a fast-paced environment and adapt to changing priorities.
  • Detail-oriented with a strong commitment to accuracy.
  • Team player with a positive attitude and a willingness to collaborate.
  • Knowledge of HVAC industry software and tools is a plus.
