Note:

  • Hybrid role: Monday - Friday, 8:00am – 5:00pm (hybrid work schedule, onsite every Tuesday and Thursday, as well as every other Friday).


Description:

  • Serve as an exempt-level HR professional within the Health Human Resources Service Center, providing operational leadership and subject matter expertise across complex, high-volume HR functions throughout the employee lifecycle.
  • Review, approve, audit, and oversee HR transactions while ensuring compliance with university policies, collective bargaining agreements, internal controls, and established procedures.
  • Manage complex and escalated employee and departmental HR cases through ServiceNow, providing timely resolution and exceptional customer service.
  • Conduct quality assurance reviews, post-transaction audits, and compliance monitoring to ensure accuracy, consistency, and adherence to regulatory requirements.
  • Maintain HR data integrity across systems including UCPath, ServiceNow, Avature, Salesforce, and RASC interfaces by reviewing employee, position, and organizational data.
  • Perform root cause analysis of recurring HR data discrepancies, identify operational risks, and coordinate issue resolution with internal stakeholders, UCPath, CRU, and system partners.
  • Lead internal and external HR audits, ensuring audit readiness, compliance with policies and regulations, and accurate employee file maintenance and recordkeeping.
  • Serve as the primary point of contact for audit inquiries, analyze findings, track corrective actions, and recommend process improvements to strengthen compliance controls.
  • Develop, maintain, and enhance training materials, job aids, desk guides, standard operating procedures, and process documentation to support operational excellence.
  • Provide training, coaching, and ongoing guidance to HR staff and business partners on complex HR policies, procedures, systems, and compliance requirements.
  • Partner closely with HR Service Center teams, HR Business Partners, Centers of Excellence, Compliance, Payroll, Workforce Administration, Position Management, Talent Acquisition, Compensation, Benefits, and Employee Relations teams.
  • Provide HR consultation and guidance to employees, managers, departments, and leadership regarding HR policies, procedures, and employee lifecycle transactions.
  • Translate complex HR policies and procedures into clear, actionable guidance while delivering professional, customer-focused support in a fast-paced shared services environment.
  • Analyze workflows, transaction outcomes, audit results, service metrics, and case trends to identify opportunities for operational improvements and increased service quality.
  • Lead or support special projects, pilot programs, process standardization initiatives, and continuous improvement efforts to enhance efficiency, compliance, and the employee experience.
  • Support cross-training initiatives, knowledge sharing, and operational continuity efforts to ensure consistent service delivery across the HR Service Center.


Qualifications:

  • 3–5 years of progressively responsible experience supporting Human Resources operations, workforce administration, employee services, position management, benefits administration, or shared services environments.
  • 3–5 years of hands-on experience working with HRIS, case management, and workforce management systems such as UCPath, PeopleSoft, ServiceNow, or similar enterprise HR platforms.
  • 3–5 years of experience supporting HR compliance programs, audits, records management, employee file administration, and regulatory requirements.
  • 3–5 years of experience collaborating with HR stakeholders, shared services teams, UCPath Center, RASC, HR Business Partners, and other internal departments to resolve operational issues and improve service delivery.
  • 3–5 years of experience supporting special projects, process improvement initiatives, workflow optimization, system implementations, and operational excellence efforts within an HR shared services environment.
  • 3–5 years of experience supporting high-volume HR operations within an academic medical center, healthcare system, higher education institution, or large, complex organization.
  • Comprehensive knowledge of HR operations, employee lifecycle processes, HR compliance requirements, and enterprise HR systems, including UCPath, PeopleSoft, ServiceNow, or comparable platforms.
  • Strong understanding of HR policies, procedures, collective bargaining agreements, employment regulations, and compliance standards.
  • Proven ability to accurately process, review, audit, and validate HR transactions while maintaining data integrity and compliance.
  • Experience conducting root cause analysis, investigating complex issues, identifying trends, and implementing corrective actions to improve operational effectiveness.
  • Strong analytical, organizational, and problem-solving skills with the ability to interpret data, identify risks, and make sound business recommendations.
  • Excellent written and verbal communication skills with the ability to prepare reports, audit documentation, correspondence, training materials, desk guides, and standard operating procedures.
  • Demonstrated ability to provide exceptional customer service and support in a fast-paced, high-volume environment while maintaining professionalism and confidentiality.
  • Ability to effectively collaborate with employees, managers, leadership, HR colleagues, business partners, and cross-functional stakeholders.
  • Strong attention to detail with the ability to manage multiple priorities, meet deadlines, and consistently achieve service level expectations.
  • Proven ability to identify workflow improvements, recommend process enhancements, and support continuous improvement initiatives that drive operational excellence.
  • Advanced proficiency with Microsoft Office Suite, including Microsoft Word, Excel, Outlook, and PowerPoint.
  • Knowledge of audit readiness practices, records management standards, and HR documentation requirements.
  • Ability to exercise sound judgment and discretion when handling sensitive employee information and applying policies, procedures, and compliance requirements.
  • Commitment to maintaining confidentiality and compliance with HIPAA, cybersecurity, privacy, and regulatory requirements.
  • Ability to work effectively in a collaborative team environment while supporting organizational goals, quality initiatives, and service excellence standards.
  • Willingness to participate in quality improvement initiatives, performance improvement programs, training activities, and other duties as assigned.
