Position Summary

The Human Resource Coordinator, reporting to the Director of Human Resources, supports the daily operations and administrative functions of the HR department. This role provides comprehensive support across a wide range of HR activities, including recruitment coordination, onboarding and offboarding processes, benefits and leave administration, employee records management, and HR systems support. The position assists in ensuring compliance with company policies, employment regulations, and internal procedures while helping maintain accurate documentation and HR reporting.


In addition, the Human Resource Coordinator serves as a key point of contact for employees by responding to routine HR inquiries, supporting employee relations initiatives, and helping foster a positive and inclusive workplace environment. This role also collaborates with HR leadership to coordinate departmental projects, maintain efficient HR processes, and support organizational goals through effective HR service delivery.


Key Responsibilities

  • Support the Director of Human Resources in the administration and execution of key HR programs and initiatives, including benefits administration, leave management, employee recognition and engagement, occupational health and safety, and training and development programs.
  • Serve as a primary point of contact for first level employment-related inquiries from applicants, employees, supervisors and the HR inbox by monitoring, triaging, and responding to inquiries in a timely, professional, and service-oriented manner, escalating complex or sensitive issues to the Director of HR.
  • Assist the Director of HR in communicating HR policies, procedures, organizational updates, holiday schedules, and other employee communications to ensure consistency, clarity, and alignment across the organization.
  • Maintain and organize HR communications and documentation to support transparency, knowledge sharing, and effective dissemination of information across teams.
  • Provide administrative and coordination support throughout the recruitment process, including maintaining applicant tracking systems, scheduling interviews, coordinating candidate communications, and supporting hiring managers and the Director of HR as needed.
  • Conduct background checks, employment verifications, and eligibility confirmations in compliance with organizational policies and applicable regulations.
  • Support onboarding and orientation initiatives by preparing onboarding materials, coordinating schedules, processing merchandise requests, and partnering with new hires to facilitate a positive and seamless onboarding experience.
  • Collaborate closely with the Office Manager and IT department to coordinate new hire logistics, including technology setup, equipment distribution, system access, and email signature updates.
  • Prepare, maintain, and update HR-related documents, reports, organizational charts, recruiting metrics, and other data analytics to support HR operations and leadership decision-making.
  • Assist with administration of employee wellness initiatives, including the company fitness reimbursement program, by tracking participation, maintaining documentation, processing payroll-related updates, and communicating program reminders.
  • Partner with the Office Manager to plan, coordinate, and support employee engagement initiatives, morale-building activities, and workplace culture programs that foster collaboration, connection, and a positive employee experience.
  • Stay informed of current trends, best practices, regulatory requirements, and developments in human resources, talent acquisition, employee engagement, and employment law to support continuous improvement within the HR function.

  • Working knowledge of employment law, including federal, state, and local regulations, as well as HR best practices.
  • Proficiency with or the ability to quickly learn the organization’s HRIS and talent management systems.
  • A collaborative spirit and a genuine desire to serve others, contributing to a positive and mission-driven team environment.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or related field required or relevant work experience.
  • Minimum of two years of progressive human resources experience.
  • Previous non-profit experience, strongly preferred.


Work Environment

  • This is an in-office role at the Franklin, TN headquarters, with standard work hours of 8am-5pm CDT.
  • Some travel (up to 10%) may be necessary, with occasional nights and weekends.
