Position Summary
The HR Coordinator supports a high-volume onboarding function within a fast-paced staffing and contingent workforce environment. This role is responsible for generating offer letters, coordinating onboarding, and ensuring timely completion of all pre-employment requirements across multiple clients.
This position requires prior experience working internally for a staffing agency in an HR, onboarding, or coordination capacity (not as a contractor placed by a staffing agency).
This role partners closely with internal recruiters to support a smooth onboarding experience. The position also supports ongoing contractor care for a subset of employees, providing check-ins, answering questions, and assisting throughout the assignment lifecycle.
This is a high-volume, process-driven role focused on onboarding execution and operational support.
Position Responsibilities
- Manage full-cycle onboarding from offer through start date in a high-volume staffing environment
- Generate and send offer letters and client-specific documentation via Bullhorn
- Initiate and manage background checks through vendors including ScoutLogic, HireRight, and Checkr.
- Create employee profiles in Paylocity and distribute onboarding documents (I-9, W-4, direct deposit, handbook, etc.)
- Coordinate and conduct remote I-9 verification calls via video; manage scheduling and ensure compliance
- Track onboarding progress and provide proactive status updates to recruiters and internal stakeholders
- Support candidates and contractors by answering questions and resolving issues related to onboarding, payroll, benefits, and assignment logistics
- Manage onboarding requirements across multiple clients, ensuring compliance with varying processes and documentation standards
- Conduct periodic check-ins with contractors, monitor assignment timelines, and communicate updates or changes as needed
- Support offboarding, including processing terminations and ensuring a smooth end-of-assignment experience
- Maintain accurate employee data within HR systems and support additional HR administrative tasks as needed
- Effectively manage workload during both low and high-volume periods

- High attention to detail, particularly with compliance-related documentation
- Strong organizational and time management skills with the ability to manage multiple workflows and client-specific requirements with accuracy
- Ability to operate effectively in a fast-paced, high-volume environment with shifting priorities
- Comfortable conducting frequent video calls with candidates
- Proven ability to manage onboarding across multiple clients with varying requirements
- Preferred: Hands-on experience with Bullhorn, Paylocity, and background check vendors such as ScoutLogic and HireRight
Education and Experience
- Bachelor’s degree in Human Resources, Business, or related field, or equivalent experience
- Minimum of 3 years of experience supporting onboarding while working internally at a staffing agency (required)
- Experience must be from an internal HR/operations perspective, not as a contractor placed by a staffing agency
- Experience supporting multiple clients with varying onboarding requirements
- Direct experience with onboarding, background checks, I-9 verification, and offboarding processes strongly preferred
Compensation
- Base salary range: $70,000 – $85,000 + bonus, depending on experience and location
Location
- This is a fully remote position
- Candidates must be based in the Pacific or Mountain Time Zone to support business operations

- Ability to travel for occasional company events (approximately once per year)
