Office Coordinator Job Description

We’re looking for an Office Coordinator to be the heartbeat of our branch—welcoming guests, keeping operations on track, and helping create a positive, upbeat workplace.
What You’ll Do
Be the Face of the Branch
- Serve as the first point of contact by greeting visitors and answering the main phone line with professionalism and warmth.
Keep the Team Connected
- Lead branch communications, make announcements, and help set a positive tone for company morale.
Run a Smooth Office Operation
- Open and close the office each day.
- Maintain office equipment.
- Order and stock breakroom snacks and office supplies.
Support Payroll & HR Processes
- Partner with the internal payroll team to print and distribute paychecks for over 150 clients, following each client’s preferred delivery or pickup method.
- Work with the internal human resources team to collect and distribute new hire paperwork for client employees.
- Run background checks and administer drug screens.
Coordinate Fun & Memorable Events
- Plan several small events each month, including venue coordination, catering, and invite/RSVP management.
Handle Important Documentation
- Create, issue, and distribute Workers’ Compensation letters of self-insurance for all client jobs.
- Complete employment verifications for client employees as requested by outside organizations.
Bring Creativity to the Brand
- Manage the branch LinkedIn and Facebook pages.
- Post event photos and create graphics for marketing content.
Stay Organized Behind the Scenes
- Maintain databases including contact lists, client information, and task-related spreadsheets.
Pitch In Where Needed
- Take on seasonal duties and additional tasks assigned by management.

Preferred Skills
- Experience with Microsoft Outlook, Teams, Excel, and Word
