Overview

The Family Office is an investment-focused organization responsible for aligning the family’s investment strategy and asset allocation with long-term objectives, while ensuring that all operational, administrative, and lifestyle-related needs are executed seamlessly. The office operates as a small, high-performing team that values integrity, precision, and a deeply service-oriented mindset.


The Family Office is seeking an Operations Associate to support and enhance the day-to-day functioning of the office’s non-investment activities. This individual will work closely with Family Office leadership and serve as a central coordinator across vendors, advisors, household staff, and internal processes. The role requires strong organizational capabilities, sound judgment, and the ability to operate with discretion across a wide range of responsibilities.


This is an in-office role based in Midtown Atlanta, reporting to the CEO, with periodic travel to New York City as needed. The role offers meaningful growth potential for high performers, with increasing scope and responsibility as the family office continues to build and scale.


Responsibilities

Vendor & Advisor Coordination

  • Serve as a primary point of contact for third-party service providers, including insurance brokers, legal counsel, tax advisors, property managers, and charitable administrators
  • Coordinate onboarding, ongoing management, and periodic review of vendors and external partners
  • Oversee personal insurance coverage across assets (e.g., real estate, vehicles, valuable property), including tracking policies, renewals, and working with brokers to ensure appropriate and up-to-date coverage
  • Track contracts, key deliverables, and renewal timelines to ensure proactive management of relationships


Entity & Document Management

  • Assist with administration of legal entities, including maintaining organizational documents, tracking compliance requirements, and supporting external legal and tax advisors
  • Coordinate execution, storage, and retrieval of important documents (e.g., contracts, estate planning materials, insurance policies)
  • Support diligence and information gathering for legal, tax, and operational matters


Financial & Administrative Support

  • Partner with external accounting and finance teams to support reporting, bill pay coordination, and tracking of non-investment assets and expenses
  • Assist with opening and maintaining bank and brokerage accounts, including coordinating documentation, onboarding processes, and ongoing account administration
  • Support coordination of inputs for periodic reporting and assist in preparing summaries or materials for leadership and family members
  • Support budgeting, expense tracking, and cash flow coordination for operating entities and households


Reporting & Information Coordination

  • Coordinate and consolidate information across advisors to support accurate and timely reporting
  • Assist in preparing materials for internal meetings, family discussions, and external advisor updates
  • Track key data points across entities, properties, and accounts to support visibility and decision-making


Operations & Infrastructure

  • Support the day-to-day operations of the family office, ensuring consistency, reliability, and attention to detail across all non-investment functions
  • Assist in developing, documenting, and refining internal processes, workflows, and systems to improve efficiency and scalability
  • Maintain and organize centralized records, including digital and physical filing systems, ensuring accuracy, accessibility, and confidentiality
  • Support business continuity planning and operational best practices across the office


Technology & Systems

  • Help manage and optimize internal systems, including document management platforms, shared drives, and data organization
  • Support implementation and onboarding of new tools (e.g., expense management, reporting, secure communication platforms)
  • Coordinate with external IT vendors on system maintenance, access management, and basic cybersecurity best practices
  • Maintain data integrity and consistency across systems


HR / People Operations

  • Collaborate with Household Managers and external service providers to support administration of household staff and operations
  • Support onboarding and offboarding processes for household and office staff
  • Assist with coordination of payroll, benefits, and related administrative processes with external providers
  • Maintain organized employee records and documentation
  • Support ad hoc people-related needs across the family office ecosystem


Philanthropy & Special Projects

  • Support administration of charitable activities, including coordination with custodians, tracking donations, and maintaining records
  • Lead or support special projects, including research, vendor sourcing, and implementation of new initiatives
  • Provide flexible, hands-on support across the family office as priorities evolve


Qualifications:

  • Bachelor’s degree required
  • 1–5 years of experience in financial services, wealth management, operations, paralegal, or a related field
  • Exceptional attention to detail with the ability to manage multiple priorities and follow through consistently
  • Demonstrates a high degree of professionalism, confidentiality, and sound decision-making
  • Clear, polished communicator with the ability to interact effectively with a wide range of stakeholders
  • Proactive, resourceful, and comfortable operating independently in a dynamic environment
  • Strong commitment to supporting others with a high-touch, solutions-oriented approach
  • Comfortable navigating evolving priorities within a small, fast-paced team


Job Type: Full-Time, In-Person; office located in Midtown Atlanta, GA


Compensation: Annual salary range of $75,000 - $100,000, based on experience and qualifications, with comprehensive benefits
