ESC has an exciting opportunity for a Facilities/Accounting Coordinator to support a high-volume procurement and store development operations team within a fast-paced retail environment in Austin, TX. The Coordinator will play a critical role in maintaining purchase order data integrity, supporting vendor workflows, and ensuring smooth operational execution across systems.
Job Description:
Data Management & System Administration (80%)
• Manage high-volume data entry and validation of purchase orders across systems such as Coupa, Workday, and Procore
• Process incoming workflow requests through intake systems, verifying budget codes, contract details, and supporting documentation
• Perform ongoing data quality checks to ensure accuracy, completeness, and compliance with internal procedures
• Support AI-assisted workflows by validating system-generated data and identifying discrepancies
• Maintain organized records and documentation related to procurement, contracts, and project data
• Assist in improving data workflows and system processes to increase efficiency and scalability
Vendor & Stakeholder Support (20%)
• Track and follow up on outstanding requests, vendor issues, and data inconsistencies
• Partner with procurement and cross-functional stakeholders to resolve vendor onboarding and data-related issues
• Communicate updates and ensure alignment across internal teams
• Support ad hoc requests and contribute to continuous improvement initiatives
Must Have Qualifications:
• High School diploma or equivalent
• 1–2+ years of experience in data entry, procurement support, or administrative operations
• Strong proficiency in Microsoft Excel and the Microsoft Office suite
• Ability to manage high-volume, detail-oriented work with a high degree of accuracy
• Strong organizational and multitasking skills in a fast-paced environment
• Basic financial acumen, including understanding of budgets, purchase orders, or invoicing
• Strong communication skills with the ability to work cross-functionally
• Ability to identify and resolve moderately complex data issues
Nice to Have Qualifications:
• Experience with procurement or financial systems such as Coupa, Workday, or Procore
• Background in facilities, construction, or store development environments
• Familiarity with vendor management and procurement workflows
