The Direct Hire Division of Consilio, LLC is working with a highly regarded law firm that is seeking to hire a Legal Executive Assistant to join their New York office. This position is not with Consilio directly; it is a direct hire, permanent opportunity with the law firm.
Position Overview
We are seeking a highly skilled and detail-oriented Legal Executive Assistant to support attorneys in a fast-paced legal environment. This role requires a strong combination of administrative expertise and a deep understanding of legal procedures, terminology, and the broader business context in which legal work is performed.
The ideal candidate will be proactive, technologically savvy, and capable of managing complex tasks with precision and discretion.
Key Responsibilities
- Provide high-level administrative support to attorneys, including calendar management, scheduling meetings, and coordinating travel arrangements
- Prepare, edit, and format legal documents, correspondence, and reports
- Maintain and organize case files, records, and documentation in accordance with firm procedures
- Manage court filings (electronic and manual) and ensure deadlines are met
- Conduct legal and business research using various research tools and databases
- Utilize case management systems to track progress, deadlines, and documentation
- Assist with billing processes, expense reports, and accounting-related tasks using accounting software
- Serve as a liaison between attorneys, clients, and internal teams while maintaining confidentiality
- Support document management, version control, and filing systems
- Ensure accuracy and consistency in all work, adhering to firm standards and legal requirements
Required Qualifications
- Education:
- High School Diploma required
- Bachelor’s degree in legal studies, Business Administration, or a related field preferred
- Experience:
- Minimum of 5 years of experience in a legal administrative or executive assistant role
Skills & Competencies
- Strong understanding of legal procedures, documentation, and terminology
- Demonstrated administrative competence in a professional legal setting
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Experience with:
- Law firm software systems
- Case management software
- Legal research tools (e.g., Westlaw, LexisNexis)
- Accounting/billing software
- Excellent organizational and time management skills with the ability to manage multiple priorities
- Strong written and verbal communication skills
- High level of attention to detail and accuracy
- Professional discretion and ability to handle sensitive information
