Executive Assistant

SUMMARY

Under the supervision of the Executive Director, the Executive Assistant provides high-level administrative support to ensure the efficient operation of the organization’s home office. This role is responsible for managing the Executive Director’s schedule, communications, and administrative priorities, while also supporting organizational initiatives, including coordination and execution of ANCHOR’s social media presence.

 

DUTIES AND RESPONSIBILITIES

These describe the general nature of the position, other duties and responsibilities may be assigned, as needed.

·        Manage and prioritize incoming mail, email, and communications.

·        Draft, edit, and format routine correspondence and documents.

·        Organize and maintain filing systems, records, and documentation.

·        Answer, screen, and direct telephone calls; coordinate conference calls.

·        Maintain the Executive Director’s calendar, including scheduling appointments, meetings, and travel arrangements.

·        Greet and assist visitors, ensuring a professional and welcoming environment.

·        Conduct research and compile reports, including statistical and operational data.

·        Coordinate meetings, including preparing agendas, reserving space, and recording minutes.

·        Prepare and distribute outgoing communications, including email and other materials.

·        Order office supplies and coordinate equipment maintenance as needed.

Social Media & Communications Support (ANCHOR):

·        Assist in managing and maintaining ANCHOR’s social media accounts (e.g., LinkedIn, Facebook, Instagram, website updates, and other platforms as needed).

·        Draft and schedule posts aligned with organizational messaging and branding.

·        Coordinate with leadership to highlight programs, events, and community impact.

·        Monitor engagement and support basic reporting on social media performance.

·        Perform other related duties as assigned.

EDUCATION AND EXPERIENCE

Associate’s or technical degree from an accredited college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

 

Excellent verbal and written communication skills, with ability to teach and train; excellent organizational skills and attention to detail; strong analytical and problem-solving skills; strong supervisory and leadership skills; proficient with Microsoft Office Suite or related software.

 

TECHNICAL SKILLS

·        Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

·        Ability to learn and adapt to additional software platforms

·        Familiarity with social media platforms and basic content management preferred (Canva, Publisher, etc)

 

PHYSICAL DEMANDS

To perform this job successfully, the employee is frequently required to remain in a stationary position. Daily movements include sitting, standing, operating computers and other office equipment, moving about the office, and attending meetings. The employee must be able to communicate via email and verbally via telephone. The employee must occasionally transport up to 25 pounds. COMPENSATION & BENEFITS

This position is scheduled for 32 hours per week and offers an hourly wage range of $20-$24 per hour, based on qualifications and experience. This role is benefits-eligible, including medical, dental, and vision coverage, 401(k) with company match, life insurance, short and long-term disability, paid time off (PTO), and paid holidays.
