Executive Assistant

Our client, a well-established insurance firm, is looking to add an Executive Assistant to their team. This is a direct hire role and hybrid in the Buckhead area.


The ideal candidate will schedule appointments, coordinate internal and external meetings and conferences, direct mailings, and special projects. This position must be able complete all tasks in a timely manner. This position requires involvement with confidential and sensitive information. The Executive Assistant is required to interact with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.


Responsibilities:

  • Performs necessary administrative duties including typing, editing, and organizing correspondence.
  • Opens, sorts, and distributes incoming correspondence and drafts written responses or replies by phone or e-mail when necessary.
  • Manages and maintains heavy calendar activity for the Executive Chairman, President, Chief Officers, and/or Partners.
  • Schedules internal and external meetings/conferences as required.
  • Attends and records minutes of meetings as required.
  • Orders, sets up, and cleans up lunch for meetings as needed.
  • Answers and screens telephone calls.
  • Assists in responding to Board members, policyholders, legal, public officials, employees, and general public inquiries.
  • Arranges complex and detailed travel plans.
  • Creates expenses reports.
  • Prepares reports and spreadsheets by collecting and analyzing information.
  • Assists in annual budget preparation and monitors expenses.
  • Handles confidential company matters to include personnel, financial reports, strategic plans, and Board of Director matters.
  • Assists with execution of the Strategic Plan through Workday Goals.
  • Provides back-up to the Executive Assistant to the Chairman/CEO when necessary.
  • Plans and facilitates off-site retreats.
  • Handles routine clerical matters on an independent basis with little or no supervision.
  • Performs special projects as needed.

Qualifications:

  • Minimum of ten years of business experience as an Executive Assistant with Insurance background preferred.
  • Must have high level of interpersonal skills to handle sensitive and confidential situations.
  • Position continually requires demonstrated poise, tact, and diplomacy.
  • Independent judgment is required to plan, prioritize, and organize diversified workload.
  • Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
  • Work requires continual attention to detail in composing, typing, and proofing materials.
  • Experience handling extremely sensitive and confidential matters.
  • High trust, honesty, and work ethics required.
  • The ability to identify and approach tasks and activities proactively.
  • Strong skill and expertise in using PowerPoint and other MS Office suite products.
