Kelly Services is seeking a highly organized and proactive Administrative Assistant to Director to support a senior executive in a fast-paced, business-focused environment. This role combines high-level administrative support with exposure to business development, market research, and stakeholder engagement.

The ideal candidate is detail-oriented, analytical, and confident interacting with senior-level professionals, with the ability to manage multiple priorities independently.

What You’ll Do

Executive Support & Planning

  • Manage the Director’s calendar, meetings, and travel arrangements across the US
  • Prepare meeting briefs, draft minutes, and coordinate follow-ups
  • Handle administrative matters and claims processing with efficiency and discretion

Office & Operations Management

  • Keep the San Mateo office presentable and fully functional
  • Manage office assets, supplies, vendor relationships, and budget planning
  • Support business continuity planning and knowledge management initiatives
  • Work with insurance brokers to obtain quotes and support risk management decisions

Market Development & Stakeholder Engagement

  • Conduct market research and identify potential business leads (~5–10% of the day)
  • Build relationships with stakeholders to facilitate business connections
  • Support events, analyze engagement data, and assist in lead nurturing campaigns


Who You Are

  • Exceptional communication and interpersonal skills with the confidence to engage senior executives
  • Highly organized, proactive, and detail-oriented with the ability to manage multiple priorities
  • Strong analytical and research capabilities with experience in sales or business operations a plus
  • Comfortable with MS Office, Salesforce, LinkedIn, and other business tools
  • Enthusiastic about learning and exploring industry trends and global business opportunities


Qualifications

  • 3–5 years of experience in executive or administrative support required
  • Familiarity with international business and Asia economic landscape is a plus, but not required
  • Experience in business operations, sales support, or marketing is a plus
  • Excellent written and verbal communication skills
  • Strong analytical and research capabilities
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Experience with Salesforce, LinkedIn, or similar tools preferred
  • Ability to interact professionally with senior executives and stakeholders
