Executive Assistant to the Vice Chancellor of Information Technology

Hourly rate $35 an hour Job Summary

The Interim Executive Assistant provides comprehensive, high-level administrative and advisory support to the Vice Chancellor of Information Technology at UC Santa Cruz. This experienced professional is responsible for managing complex scheduling, travel, communications, governance support, and office operations across a broad range of institutional priorities and relationships.

Calendar and Scheduling

  • Manage the calendar, including appointment scheduling, prioritization, and conflict resolution involving highly sensitive matters.
  • Exercise discretion to protect and optimize the schedule by evaluating competing priorities and time commitments.
  • Screen and triage meeting requests; redirect or independently resolve matters as appropriate.
  • Anticipate scheduling needs and take proactive action without prompting.
Travel and Logistics
  • Coordinate all travel arrangements for the VC IT, including transportation, accommodations, and detailed itineraries.
  • Prepare, reconcile, and submit expense reports accurately and within required timeframes.
  • Organize and coordinate on‑campus and off‑campus events, meetings, and engagements.
Communications and Correspondence
  • Review, prioritize, draft, edit, and respond to email and written correspondence on behalf of the VC IT.
  • Prepare and distribute meeting agendas and supporting materials in advance of scheduled commitments.
  • Assist with the preparation of presentations, reports, and other materials for internal and external audiences.
  • Receive and screen phone calls and visitors, responding with tact and diplomacy and directing matters appropriately.
Meeting and Governance Support
  • Facilitate ITS governance groups and provide administrative support for governance meetings.
  • Take notes, track discussions, and identify and follow up on action items for high‑priority meetings.
  • Coordinate complex meeting logistics, including scheduling, agendas, materials, and catering.
Office Operations and Special Projects
  • Support the day‑to‑day operations of the VC IT’s office and continuously refine internal processes.
  • Determine priorities for matters requiring the VC IT’s attention; redirect or resolve issues independently when appropriate.
  • Maintain strict confidentiality in handling sensitive information.
  • Lead or complete special projects as assigned by the VC IT.
Knowledge, Skills, and Abilities

Required:

  • Advanced interpersonal skills with the ability to communicate and collaborate effectively with staff, faculty, senior leadership, and external constituents.
  • Advanced written and verbal communication skills, including independent drafting of professional correspondence and materials.
  • Superior organizational skills with strong attention to detail and the ability to manage multiple priorities under tight deadlines.
  • Demonstrated ability to anticipate needs, exercise independent judgment, and take initiative with minimal direction.
  • Ability to work with urgency, accuracy, and professionalism in a fast‑paced, high‑visibility environment.
  • Proven ability to maintain discretion and strict confidentiality at all times.
  • Ability to navigate sensitive issues and differing perspectives across all organizational levels, including the Office of the President and external partners.
