Overview:

The Event Coordinator will own the end-to-end planning, logistics, and execution of TrustedTech’s marketing, partner, private equity, and industry events calendar. This is a high-visibility, cross-functional role responsible for delivering a portfolio of events that directly supports pipeline and revenue objectives.


The ideal candidate is exceptionally organized, thrives in a fast-paced B2B environment, and brings sharp project management skills to every engagement. A background in the technology or IT services space is a strong plus. This role reports directly to the Senior Solutions Marketing Manager and works closely with leadership across Sales, Marketing, and Private Equity.



Responsibilities:

  • Own the full lifecycle of assigned events, from concept and budgeting through logistics, on-site execution, and post-event reporting to senior staff.
  • Manage and coordinate TrustedTech’s event calendar across four categories: Marketing Events, Partner Events, PE Initiatives, and Industry Events (e.g., Ignite).
  • Develop and maintain detailed project plans, timelines, and run-of-show documents for each event, ensuring all internal stakeholders are aligned and on schedule.
  • Coordinate venue sourcing, contract negotiation, and vendor management (AV, catering, travel, swag, signage, promotional materials).
  • Manage event budgets with precision, tracking spend, reconciling actuals, and flagging variances.
  • Serve as the primary logistics liaison for partner-funded events, coordinating co-marketing contributions from partners such as AvePoint, Barracuda, Crowdstrike, and Microsoft.
  • Drive cross-functional alignment by partnering with Sales, Marketing, and PE teams to ensure event strategy maps to pipeline and opportunity goals.
  • Support pre-event promotional coordination in partnership with the marketing team (email, social, paid media).
  • Manage event registration, attendee communications, and post-event follow-up logistics.
  • Track event ROI and report on performance against established targets (e.g., opportunities generated, attributed revenue).
  • Coordinate travel logistics and on-site staffing plans for all events requiring TrustedTech personnel attendance.
  • Maintain vendor and venue relationships to build long-term partnerships and secure favorable terms.



Deliverables:

Success in this role is measured by the quality and consistency of what gets produced and executed across TrustedTech’s full event portfolio. The Event Coordinator is expected to deliver:


  • A maintained annual and quarterly event calendar that reflects confirmed logistics, approved budgets, and clearly assigned ownership across all event categories.
  • Per-event project documentation (including detailed timelines, vendor lists, run-of-show documents, staffing plans, and post-event recaps) that is complete, current, and shared proactively with stakeholders.
  • Budget tracking that is accurate and up to date at all times, with actuals reconciled against forecast and variances flagged to the Sr. Solutions Marketing Manager before they become issues.
  • Post-event performance reports that document attendance, pipeline impact, and actionable recommendations, written clearly enough to inform future event strategy, not just satisfy a reporting requirement.
  • Organized vendor and partner coordination records, including contracts, co-marketing agreements, and deliverable tracking, maintained in a way that provides visibility and continuity across the team.
  • On-site event execution that is seamless, professional, and reflective of TrustedTech’s brand, where attendees experience a well-run event and internal stakeholders feel confident and supported throughout.



Required Skills & Qualifications (must-haves):

  • 4+ years of hands-on experience in event coordination, corporate event planning, or B2B marketing events, with demonstrated ownership of events from planning through post-event reporting.
  • Proven ability to manage multiple events and workstreams simultaneously; this role runs a portfolio of events across four categories, and strong project management discipline is non-negotiable.
  • Experience in B2B technology, IT services, or Microsoft partner ecosystem events.
  • Hands-on vendor and venue negotiation experience, including contract review, relationship management, and securing favorable terms across AV, catering, travel, swag, and signage suppliers.
  • Experience managing event budgets of varying sizes, with a consistent track record of staying on budget, reconciling actuals, and communicating variances proactively.
  • Availability and willingness to travel approximately 30% of the time (or more) to support on-site event execution across TrustedTech’s event calendar.
  • Strong written and verbal communication skills, with the confidence to interface directly with executive stakeholders, external partners, and vendors without significant oversight.
  • Proficiency with project management and collaboration tools such as Jira, SharePoint, Asana, or equivalent, used to maintain visibility and accountability across concurrent workstreams.
  • A highly organized, self-directed working style that doesn’t require a lot of hand-holding, this role operates with meaningful autonomy, and the right candidate is energized, not unsettled, by that.



Preferred Skills & Qualifications (nice-to-haves):

  • Experience working in the B2B technology, IT services, or Microsoft partner ecosystem, where partner co-marketing programs, industry events like Ignite, and technical audiences are familiar territory.
  • Familiarity with event management platforms such as Cvent, Eventbrite, or similar tools for registration, attendee management, and event logistics.
  • Exposure to Salesforce or marketing automation platforms (e.g., SFMCAE) for attendee tracking, lead capture, and post-event follow-up workflows.
  • Experience supporting executive-level or Private Equity-related events, where discretion, precision, and a high standard of presentation are expected without being asked.
  • CMP (Certified Meeting Professional) designation or active progress toward certification is a meaningful signal of professional commitment to the craft of event management.
  • Bachelor’s degree in Marketing, Communications, Business, Hospitality, or a related field, is preferred.



Working Environment & Compensation Details:

  • Type: Onsite (Irvine, CA); Monday-Friday
  • In-office Hours: 7:00 am to 4:00 pm PT
  • Travel Requirements: Availability and willingness to travel approximately 30% of the time (or more) to support on-site event execution
  • Compensation Range: $100K - $115K (*DOE)
