Position Summary
Flourish Beaver County seeks a highly organized, detail-driven program coordinator to support the planning and execution of a countywide workforce readiness initiative serving Beaver County high school students. This part-time role is essential to keeping the program on schedule, ensuring strong communication across partners, producing accurate, timely data, and reporting for internal leadership and funders. The coordinator will manage calendars and logistics across multiple partner sites, maintain program records, support student and school engagement processes, and lead the collection and organization of evaluation data.
Key Responsibilities
Program coordination and scheduling
- Build and manage program calendars (events, planning meetings, deadlines, partner touchpoints)
- Coordinate scheduling across partner colleges, school districts, and workforce partners
- Prepare run-of-show documents, agendas, and internal checklists for events and meetings
- Track action items, follow-ups, and ownership across partners to ensure timely completion
Administrative and logistics support
- Support event logistics such as venue needs, materials lists, transportation coordination details, and day-of support plans (as applicable)
- Maintain accurate contact lists for partners, districts, and stakeholders
- Support purchase tracking, invoices, and documentation needed for program expenses (in coordination with CEO and fiscal processes)
- Organize shared files and templates so partners can work from a single source of truth
Data collection, evaluation, and reporting
- Manage survey distribution and collection for student assessments (QR codes, links, completion tracking)
- Maintain clean, organized datasets, including participation counts, school/district participation, track selections, and survey responses
- Produce routine updates and summary snapshots for internal leadership, board reporting, and funder communications
- Support continuous improvement by tracking feedback, themes, and recommendations across events
Communication and partner support
- Draft and send partner-facing emails (registration reminders, logistics updates, thank-you notes, follow-up requests)
- Coordinate meeting invitations, notes, and documentation
- Serve as a responsive point of contact for logistical questions from partners and participating schools
General administrative support
- Provide administrative support to Flourish Beaver County operations as assigned (scheduling, document preparation, contact management, basic coordination tasks)
- Assist with preparing materials for board, partner, or funder communications when requested
Work Location and Expectations
- Ability to work in person at Flourish Beaver County’s office in Beaver Falls
- Ability to travel to partner sites and events across Beaver County as needed
- Reliable transportation is required
- Some evening or occasional weekend availability may be needed, depending on partner schedules and event timing
Compensation and Reimbursement
- Compensation: $25 per hour
- Mileage reimbursement: Required travel to partner sites and events across Beaver County will be reimbursed, consistent with Flourish Beaver County policy
Qualifications
- Strong organizational and project coordination skills with demonstrated attention to detail
- Experience managing schedules, trackers, and multi-stakeholder logistics
- Comfort working with data, including spreadsheets, survey tools, and basic reporting
- Strong written communication skills and professional email etiquette
- Ability to manage multiple priorities, meet deadlines, and follow through consistently
- Must be able to obtain clearances required for working with students: PA State Police (Act 34), Child Abuse History (Act 151), and FBI Fingerprinting (Act 114)
Preferred Qualifications
- Experience supporting youth programs, education initiatives, workforce development, or nonprofit operations
- Familiarity with Google Workspace (Docs, Sheets, Forms), Excel, and basic data visualization
- Experience coordinating partners across K–12, higher education, employers, or community organizations
