Location: Melville, New York

Employment Type: Full-time

Compensation: $75-85k


Position Overview

The Engineering Administrative Assistant will provide high-level administrative and operational support to senior leaders and engineering teams. This role ensures seamless coordination of schedules, communications, and departmental processes while supporting cross-functional projects and initiatives. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Must be legally authorized to work in the United States.


Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate domestic and international travel arrangements.
  • Develop detailed travel itineraries, schedules, and briefing materials.
  • Manage and prioritize emails, calls, and correspondence, escalating matters as needed.
  • Prepare presentations, reports, agendas, and meeting materials.
  • Record and distribute meeting minutes, action items, and follow-up communications.
  • Handle confidential information with professionalism and discretion.
  • Manage departmental expenses, travel reimbursements, budget tracking, and reconciliation.
  • Support cross-functional projects and departmental initiatives, ensuring alignment on timelines and deliverables.
  • Track project milestones and proactively follow up with stakeholders to maintain progress.
  • Maintain departmental databases, records, and documentation, including performance metrics and purchase orders.
  • Coordinate employee onboarding and offboarding activities and assist with planning team meetings, events, and training sessions.


Required Experience/Skills

  • 3+ years of administrative, executive assistant, or coordinator experience supporting senior leaders or large departments.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Excellent organizational, time management, and multitasking skills.
  • Strong written and verbal communication skills.
  • Experience managing calendars, travel arrangements, and executive communications.
  • Proven ability to handle confidential information with discretion.
  • Exceptional attention to detail and follow-through.
  • Ability to work independently and proactively solve problems.


Preferred Experience/Skills

  • Experience supporting engineering, technical, manufacturing, or product development teams.
  • Familiarity with project coordination and project management concepts.
  • Experience with Smartsheet or similar project-tracking tools.
  • Experience coordinating onboarding, events, and departmental logistics.


Education Requirements

  • Associate's degree or higher in Business Administration, Management, or a related field preferred.
  • Equivalent professional experience will be considered in lieu of formal education.
